Role overview

The Project Management Administrator provides advanced administrative support for commercial real estate construction projects.

The project management function manages projects from initiation through completion.

The role is full time and on site in New York City, with client office or site attendance required at least three days per week.

Responsibilities

  • Support project management across budgets, schedules, procurement, quality, and risk.
  • Support planning, design, construction, occupancy, and closeout for individual commercial real estate projects.
  • Prepare documentation, issue documents for commitment, maintain spreadsheets, process purchase orders and invoices, manage vendors, and prepare reports.
  • Implement documentation governance and ensure project data is accurate, timely, and coordinated.
  • Track progress against goals, approved budgets, and timelines; report status and variances.
  • Craft action plans and potentially lead smaller projects or third-party project delivery resources.
  • Apply procedures and technical judgment to resolve routine and slightly complex problems.

Requirements and qualifications

  • Bachelor's degree is preferred, with two to five years of relevant experience; equivalent education and experience may be considered.
  • In-depth knowledge of Microsoft Office products, including Word, Excel, and Outlook, is required.
  • Previous AEC experience involving construction project management, owner's representation, or commercial project management is preferred.
  • Ability to read architectural drawings and knowledge of leases, contracts, and construction practices are helpful.
  • Strong interpersonal skills, an inquisitive mentality, and the ability to analyze possible solutions are required.
  • Candidates must be able to report to client offices or sites at least three days per week.

Workplace

  • The role is primarily on site in client offices or project sites in Midtown Manhattan.
  • On-site presence and requirements may change depending on client needs.
