Job Duties & Responsibilities

  • Involve in the tendering process, including preparing and issuing RFPs and RFQs
  • Coordinate pre bid meetings and site visits, addressing queries from bidders
  • Evaluate bids and provide recommendations based on technical and financial assessments
  • Check and review client inquiries to determine if the same scope of work has been quoted before
  • Identify and evaluate potential suppliers, maintaining relationships to ensure compliance with quality, cost, and delivery requirements
  • Maintain and update the supplier/vendor database
  • Conduct supplier audits and evaluate performance to ensure compliance with quality standards and contractual obligations
  • Manage supplier information, including products offered and service costs
  • Negotiate contract terms with suppliers to secure optimal pricing and conditions
  • Review and coordinate with internal team members regarding suppliers' contracts, ensuring compliance with legal and regulatory standards
  • Address and resolve any disputes that arise during the contract lifecycle
  • Utilize data analysis to assess procurement trends and supplier performance

Additional Responsibilities

  • Prepare and present procurement reports to the line manager
  • Conduct research to identify new suppliers and evaluate market trends impacting procurement strategies
  • Prepare purchase vouchers for subcontractors and suppliers, submitting them to the accounts department
  • Prepare sales invoices (JODCO) and submit them to clients
  • Work collaboratively within the department, as well as with project management and finance teams
  • Facilitate effective communication between internal teams and external suppliers
  • Identify and address procurement related challenges
  • Adapt procurement strategies in response to changing project requirements
  • Manage multiple procurement projects, ensuring timely and budget compliant execution
  • Conduct risk assessments for procurement processes
  • Ensure adherence to industry regulations and compliance requirements
  • Identify and implement process improvements within the procurement function

  • Timely preparation and issuance of RFPs and RFQs that attract qualified bidders
  • Streamlined communication and effective coordination during pre bid meetings
  • Regularly identify and evaluate suppliers through audits to ensure improvement and compliance

  • Maintain the monthly documentations of lessons learned, relevant reports
