Job Purpose
Supervise the Service Reception and front-of-house operation of an automotive service center.
Ensure professional customer experience, efficient repair-order flow, accurate service records, KPI achievement, and compliance with OEM standards.
Principal Accountabilities
- Support customer retention, loyalty, and satisfaction strategies with the Service Manager.
- Supervise customer arrival, vehicle check-in, appointments, job allocation, and vehicle handover.
- Lead and develop the Reception team and maintain professional customer handling.
- Ensure complete repair orders, customer and vehicle details, complaints, estimates, delivery times, and approvals.
- Coordinate appointment planning and workshop loading to optimize capacity and reduce waiting time.
- Explain repairs, estimates, warranty or goodwill coverage, and completion times to customers.
- Track repair-order progress and customer updates, escalating delays, parts backorders, and extended stays.
- Coordinate Reception with Workshop, Parts, Warranty, CRM, Customer Care, and Accounts.
- Monitor CSI, NPS, complaints, repeat concerns, and corrective actions.
- Review WIP, open and overdue repair orders, declined work, and other operational KPIs.
- Ensure repair orders are accurately closed, invoiced, and archived.
- Maintain customer-facing facilities and ensure compliance with company, OEM, safety, legal, and quality requirements.
