Position and Duration

Job Summary

Workforce Planning and Forecasting

• Translate business and operational requirements into workforce plans aligned with event timelines, milestones, and venue readiness.
• Forecast workforce needs based on event size, attendance expectations, functional requirements, and operational complexity.
• Plan staffing for venue operations, hospitality, security coordination, accreditation, logistics, and guest services.
• Continuously adjust plans to reflect changing operational needs and real-time event dynamics.

Stakeholder Management

• Partner with functional heads to understand workforce requirements and challenge inputs where necessary.
• Provide data-driven recommendations balancing service quality, cost efficiency, and operational feasibility.
• Influence senior stakeholders through structured analysis and evidence-based insights.
• Manage competing workforce demands across multiple departments and venues.

Analytics and Reporting

• Maintain dashboards tracking hiring progress, headcount, deployment readiness, and workforce utilization.
• Use XLOOKUP, VLOOKUP, pivot tables, formulas, and dashboards to analyze workforce data.
• Monitor hiring velocity, vacancy rates, deployment readiness, and cost per resource.
• Report workforce status and risks to leadership teams.

Budget and Cost Management

• Manage workforce budgets within project and event financial constraints.
• Track salaries, accommodation, transportation, air tickets, per diems, allowances, medical insurance, and GOSI contributions.
• Identify workforce cost-saving opportunities and support cost forecasting for tournaments and large-scale events.
• Recommend ways to improve return on workforce investment.

Workforce Optimization

• Assess workforce structures and recommend staffing models based on operational requirements.
• Deploy the appropriate mix of senior managers, managers, specialists, supervisors, and coordinators.
• Allocate resources across venues and functional areas to minimize idle capacity.
• Evaluate workforce grading, local hiring, shift allocation, and agency dependency.

Event Workforce Operations

• Support workforce mobilization and deployment for large-scale sporting events and tournaments.
• Ensure workforce readiness across multiple venues and functional areas.
• Manage last-minute changes, live-operation adjustments, and contingency staffing.
• Identify workforce risks and implement mitigation strategies.

Required Qualifications

• Bachelor’s degree in HR, Business Administration, or a related field.
• 5–8 years of experience in HR workforce planning, resource management, or HR operations.
• Strong experience in sports events, mega events, exhibitions, or large-scale project environments.
• Proven exposure to workforce budgeting and cost optimization initiatives.
