- Respond to client inquiries and coordinate follow ups with existing and prospective customers
- Prepare and issue quotations, invoices, proposals, and other sales related documents
- Coordinate with operations, maintenance, and technical teams to ensure timely submission of quotations and project updates
- Assist in processing maintenance service requests, fit out, and renovation project documentation
- Maintain accurate customer records, contracts, and filing systems
- Schedule meetings, site visits, and appointments for the sales and technical teams
- Communicate professionally with clients via phone, email, and messaging platforms
- Monitor the status of quotations and follow up on pending approvals and purchase orders
- Provide administrative support to the sales team and management
- Perform general office administration duties and ensure organized documentation
Requirements
- Minimum of 2 years of experience in sales coordination, administration, or a similar role
- Strong knowledge of building maintenance services
- Experience in fit out and renovation projects is a strong advantage
- Familiarity with preparing quotations for maintenance contracts and technical services
- Excellent organizational, multitasking, and time management skills
- Strong written and verbal communication skills in English
- Proficient in Microsoft Office (Word, Excel, Outlook)
- High attention to detail with a customer oriented mindset

Overview
- Fixen Technical Services is seeking a proactive, organized, and customer focused Admin Sales Coordinator to support our sales and administrative operations.
- The ideal candidate will have experience in the maintenance, fit out, or renovation industry and will play a key role in coordinating client inquiries, preparing quotations, managing documentation, and supporting the sales team.
Key Responsibilities

Qualifications & Requirements
- Bachelor's degree or diploma in Business Administration, Sales, or a related field is preferred.
- Minimum of 2 years of experience in sales coordination, administration, or a similar role.
- Strong knowledge of building maintenance services is required.
- Experience in fit out and renovation projects is a strong advantage.
- Familiarity with preparing quotations for maintenance contracts and technical services is preferred.
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills in English.
- Arabic language skills are an advantage but not mandatory.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast paced environment.
- High attention to detail with a customer oriented mindset.
