Overview

  • Fixen Technical Services is seeking a proactive, organized, and customer focused Admin Sales Coordinator to support our sales and administrative operations.
  • The ideal candidate will have experience in the maintenance, fit out, or renovation industry and will play a key role in coordinating client inquiries, preparing quotations, managing documentation, and supporting the sales team.

Key Responsibilities

  • Respond to client inquiries and coordinate follow ups with existing and prospective customers.
  • Prepare and issue quotations, invoices, proposals, and other sales related documents.
  • Coordinate with the operations, maintenance, and technical teams to ensure timely submission of quotations and project updates.
  • Assist in processing maintenance service requests, fit out, and renovation project documentation.
  • Maintain accurate customer records, contracts, and filing systems.
  • Schedule meetings, site visits, and appointments for the sales and technical teams.
  • Communicate professionally with clients via phone, email, and messaging platforms.
  • Monitor the status of quotations and follow up on pending approvals and purchase orders.
  • Provide administrative support to the sales team and management.
  • Perform general office administration duties and ensure organized documentation.

Qualifications & Requirements

  • Bachelor's degree or diploma in Business Administration, Sales, or a related field is preferred.
  • Minimum of 2 years of experience in sales coordination, administration, or a similar role.
  • Strong knowledge of building maintenance services is required.
  • Experience in fit out and renovation projects is a strong advantage.
  • Familiarity with preparing quotations for maintenance contracts and technical services is preferred.
  • Excellent organizational, multitasking, and time management skills.
  • Strong written and verbal communication skills in English.
  • Arabic language skills are an advantage but not mandatory.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and collaboratively in a fast paced environment.
  • High attention to detail with a customer oriented mindset.
