Job Purpose
The Property Management Officer is responsible for supporting the day-to-day operations of the Project by ensuring smooth site functioning, effective service delivery, and high standards of safety, quality, and tenant satisfaction.
The role involves conducting regular inspections, coordinating maintenance activities, managing tenant requests, and supporting multiple service providers to ensure operational efficiency across all facilities.
The officer plays a key role in ensuring that all operational activities are executed in line with established procedures, compliance requirements, and service standards.
This position requires strong field operations experience, attention to detail, and the ability to coordinate across multiple teams including FM, housekeeping, security, and helpdesk functions.
1. Operations & Site Management
Manage and support daily property operations to ensure smooth service delivery
Conduct regular inspections across buildings, common areas, and facilities
Ensure compliance with health, safety, and quality standards
Supervise and monitor on-site teams and service providers
2. Inspections & Reporting
Carry out routine inspections including building fabric, common areas, in-unit, vacant rooms, stores, and HSE inspections
Prepare detailed inspection reports and follow up on identified issues
Verify work completion and ensure proper close-out before sign-off
3. Tenant & Occupancy Management
Handle tenant complaints and service requests and ensure timely resolution
Coordinate tenant check-in and check-out processes
Prepare units/rooms for new tenant occupancy
Update and verify occupancy status through physical checks and system updates (e.g., CAFM)
4. Maintenance & Service Coordination
Coordinate preventive (PPM) and corrective maintenance activities with FM teams
Follow up on maintenance work orders and ensure timely closure
Ensure maintenance works are completed as per required standards
5. Stakeholder Coordination
Coordinate with housekeeping, security, FM teams, and helpdesk functions
Support communication between service providers and property management
Supervise and guide operational support staff when required
6. Incident Management
Report and document incidents in line with procedures
Respond to emergencies and escalate issues to management when required
7. Tracking & Reporting
Maintain operational trackers for inspections, work orders, and maintenance activities
Monitor issue resolution and ensure accurate status updates
Support preparation of operational reports and dashboards
8. Financial & Administrative Support
Support invoice verification against completed works and services
Assist in ensuring alignment between service completion and payment documentation
9. Project Support
Monitor ongoing works and service providers during maintenance or project activities
Ensure all works meet required standards before completion sign-off
10. Additional Responsibilities
Perform other duties as assigned by management
Support overall operational efficiency of the property
Key Skills & Competencies
Strong site inspection and operational supervision skills
Knowledge of facilities management and maintenance processes
Strong coordination and communication abilities
Ability to manage multiple tasks and follow up effectively
Strong attention to detail and problem-solving skills
Experience Requirements
Experience in camp operations, property management, or facilities management
Familiarity with maintenance coordination and tenant service operations
Experience in site inspections and operational reporting
