Role overview

Program Coordinator role supporting a global AI-focused editorial and education program based in the United States.

The role combines program administration, communications, stakeholder coordination, and data-informed process improvement across distributed teams.

Accountabilities

  • Coordinate a bi-weekly AI newsletter, including contributors, scheduling, production targets, and performance metrics.
  • Coordinate AI training programs, applications, curriculum production, participant communications, logistics, and surveys.
  • Organize in-person training opportunities, conferences, and special events.
  • Maintain program websites and coordinate content, design, analytics, accessibility, usability, and reach updates.
  • Build dashboards and metrics covering website performance, program impact, community growth, and strategic indicators.
  • Manage the AI community listserv, including moderation, content, platform administration, and community-building.
  • Process grants, paperwork, payments, deliverables, project status, and administrative issues.
  • Support funder reporting, communications, program promotion, new initiatives, and editorial and administrative work.

Requirements

  • Approximately five years of administrative and programmatic experience supporting distributed teams.
  • Interest or knowledge in AI, journalism, media, technology’s impact on society, or algorithmic accountability.
  • Ability to work independently, manage ambiguity, take initiative, and deliver across multiple priorities.
  • Excellent organization and communication skills with strong attention to detail and deadline management.
  • Ability to improve agile workflows and systems for complex programs.
  • Cultural awareness when working across regions and nationalities.
  • English proficiency plus one or more relevant additional languages.
  • Experience with grant administration or payment processing in a nonprofit or mission-driven environment.
  • Experience with training coordination, event logistics, surveys, newsletters, community management, website analytics, or accessibility.

Compensation

  • Annual salary range is $54,500–$62,000 USD.
