Job Summary

  • We are looking for a proactive and highly organized Procurement & Facilities Coordinator to manage the end to end procurement of supplies and ensure the smooth day to day functioning of our salon, spa, café, and office facilities.

Key Responsibilities Procurement

  • Manage the procurement of all operational supplies for the salon, spa, café, and corporate office.
  • Source, evaluate, and negotiate with suppliers to obtain the best quality, pricing, and delivery terms.
  • Create and process purchase orders and follow up on deliveries.
  • Build and maintain relationships with approved vendors and identify new suppliers when required.
  • Compare quotations and prepare cost analysis before purchases.
  • Ensure timely procurement to avoid stock shortages.

Key Responsibilities Inventory Management

  • Maintain accurate inventory records for all departments.
  • Monitor stock levels and reorder supplies before they run out.
  • Conduct regular stock audits and physical inventory checks.
  • Track product consumption and prepare monthly inventory reports.
  • Minimize wastage and ensure proper storage of supplies.

Key Responsibilities Facilities Management

  • Oversee the maintenance and upkeep of the office, salon, spa, and café facilities.
  • Coordinate with maintenance vendors for repairs, servicing, pest control, cleaning, and other facility related requirements.
  • Ensure all equipment is serviced according to schedule.
  • Maintain a safe, clean, and well organized working environment.
  • Monitor facility related expenses and recommend cost saving initiatives.

Key Responsibilities Asset & Office Administration

  • Maintain records of office assets, furniture, equipment, and operational supplies.
  • Track issuance and return of company assets.
  • Maintain records of warranties, service contracts, and Annual Maintenance Contracts (AMCs).
  • Ensure pantry, stationery, housekeeping, and office supplies are always available.
  • Coordinate with departments regarding procurement requests and operational requirements.

Key Responsibilities Documentation & Reporting

  • Maintain procurement documentation, invoices, supplier records, and purchase history.
  • Prepare monthly procurement, inventory, and expense reports.
  • Ensure compliance with company procurement policies and approval processes.
  • Maintain organized filing systems for all procurement and facility documents.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field.
  • 2–5 years of experience in procurement, inventory, or facilities management.
  • Experience in hospitality, wellness, salon, spa, café, or retail operations is preferred.
  • Strong negotiation and vendor management skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Excel and inventory management systems.
  • Strong communication and problem solving skills.
  • Ability to manage multiple priorities in a fast paced environment.
