Overview
We are seeking a highly organized, proactive, and trustworthy Female Executive Operations Associate to support the Business Director in managing daily operations and strategic initiatives.
This role requires someone with excellent English communication skills, a professional personality, and strong attention to detail.
The ideal candidate should demonstrate ownership of responsibilities, the ability to work independently, and flexibility to accommodate business needs, including coordination across different time zones when required.
Key Responsibilities
- Assist in developing and implementing operational strategies to improve efficiency and support business growth.
- Provide executive support to the Business Director, including calendar management, travel coordination, meetings, and follow-ups.
- Attend meetings, record minutes, track action items, and ensure timely completion of tasks.
- Coordinate with different departments to monitor deliverables, timelines, and KPIs.
- Prepare presentations, quotations, invoices, reports, and formal business documentation.
- Support project management activities and operational tracking.
- Facilitate clear communication between the Director and internal teams.
- Participate in strategic discussions and assist in business planning and reporting.
- Demonstrate strong ownership of assigned tasks, ensuring accuracy, quality, and timely completion.
- Take initiative in identifying problems, suggesting improvements, and supporting operational efficiency.
- Remain responsive and flexible to support business needs outside standard working hours when required.
- Support technical coordination when necessary.
Requirements
- 6 months to 1 year of experience in executive support, operations, or administrative roles (Fresh IT graduates are encouraged to apply).
- Bachelor’s degree in IT, Computer Science, or a related field.
- Excellent English communication skills (spoken and written).
- Strong organizational, communication, and multitasking abilities.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to prepare professional presentations, quotations, invoices, and business documentation.
- Strong sense of ownership, responsibility, and accountability for assigned tasks.
- Ability to work in flexible hours depending on business needs and international coordination.
- Must be trustworthy, honest, and able to handle confidential business information.
- Willingness to travel internationally when required (mandatory).
Preferred
- Familiarity with project management tools such as Trello, Notion, or similar platforms.
- Experience supporting senior executives or directors.
- Understanding of basic technical or IT-related coordination.
- Proficiency in Arabic is a plus.
