Job Purpose
The Officer – Property Management provides administrative and operational support to the leasing and property management team.
The role focuses on assisting with day-to-day leasing activities, maintaining accurate records, and ensuring smooth coordination between tenants and internal departments to support occupancy and service delivery.
Roles, Responsibilities & Duties
- Assist in preparing lease documents including agreements, renewals, and related paperwork.
- Maintain and update leasing records, tenant files, and unit availability in the system.
- Respond to tenant inquiries (phone, email, in person) and escalate when required.
- Coordinate with internal teams (leasing, finance, maintenance) to ensure smooth tenant service.
- Collect and verify tenant documents to ensure completeness before processing.
- Support tenant onboarding and move-in coordination.
- Prepare basic reports, correspondence, and administrative documents.
- Maintain organized filing systems (physical and digital).
- Track and follow up on pending tasks, documentation, and approvals.
- Provide general administrative support (calls, scheduling, data entry).
- Assist in organizing property viewings and open house events.
- Ensure confidentiality of tenant and company information at all times.
Qualifications
- Bachelor’s degree in Business Administration or a related field (preferred).
- Fresh graduates are encouraged to apply.
- Certifications in property management or administration are an advantage.
Experience & Competencies
- 0–2 years of experience in administration, customer service, or real estate (internships acceptable).
- Strong organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- Willingness to learn property management systems.
- Customer service-oriented mindset.
- Ability to work in a team and follow instructions.
- Positive attitude and eagerness to learn.
