Job Summary

  • The Tender Specialist is responsible for identifying tender opportunities, preparing and submitting competitive bids, coordinating with internal departments, and ensuring compliance with client requirements.
  • The role involves managing the complete tendering process, maintaining tender documentation, and supporting the organization in securing new business opportunities.

Key Responsibilities

  • Monitor online tender portals, client websites, and other sources to identify new tender opportunities.
  • Review tender documents, specifications, drawings, and commercial requirements.
  • Assess tender requirements and coordinate with management to determine bid feasibility.
  • Prepare Expressions of Interest (EOIs), prequalification documents, and tender submissions.
  • Coordinate with estimation, engineering, procurement, finance, legal, and operations teams to obtain required technical and commercial information.
  • Prepare tender schedules, compliance statements, bid forms, and supporting documentation.
  • Ensure all tender submissions are accurate, complete, and submitted within deadlines.
  • Obtain quotations from suppliers and subcontractors where required.
  • Maintain records of submitted tenders, bid status, and contract awards.
  • Attend pre bid meetings, clarification meetings, and client discussions when required.
  • Respond to client queries and prepare clarification documents.
  • Ensure compliance with company policies, contractual obligations, and client requirements.

Qualifications

  • Bachelor's degree in Business Administration, Engineering, Quantity Surveying, Procurement, or a related field.
  • Professional certification in procurement, contracts, or project management is an advantage.
  • 3–5 years of experience in tendering, bidding, contracts, or proposal management.
  • Experience in construction, engineering, MEP, contracting, manufacturing, or trading industries is preferred.
  • Familiarity with government and private sector tendering processes.

Required Skills

  • Strong knowledge of tendering and procurement procedures.
  • Excellent documentation and proposal preparation skills.
  • Ability to interpret tender specifications, BOQs, and contract documents.
  • Strong analytical and commercial awareness.
  • Excellent communication and negotiation skills.
  • High attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to manage multiple tenders simultaneously and meet strict deadlines.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Experience using ERP systems and e tendering portals is an advantage.

Preferred Qualifications

  • Experience with government procurement platforms and e tendering systems.
  • Knowledge of FIDIC or other standard contract conditions.
  • Understanding of cost estimation and contract administration.
  • Experience working with ISO quality management systems.
