Responsibilities
- Leads the selection, onboarding, and induction of Front Office and Patient Relations employees.
- Develops and delivers structured training programs covering hospital operations, patient experience, and customer service.
- Trains teams on the complete outpatient clinic workflow, from appointment and registration through to physician consultation, checkout, and bill closure.
- Ensures staff are competent in patient registration, appointment management, insurance processes, check-in/check-out, and billing and payment collection.
- Trains teams on accurate bill closure, payment processes, credit notes, refunds, and escalation of billing discrepancies.
- Delivers customer-service training focused on communication, empathy, service recovery, complaint handling, and patient engagement.
- Establishes and monitors competency standards for front office roles through knowledge assessments, observation, simulations, quality audits, and post-training evaluation; maintains complete and auditable training records.
- Monitors training effectiveness and identify performance gaps through patient feedback, operational audits, complaints, and KPIs.
- Conducts regular quality audits of front office and operations ensuring compliance with established standards, identify gaps, drive corrective actions and retrain as needed
- Generate reports as required.
- Develops and maintains SOPs, training manuals, competency checklists, and training matrices.
- Provides refresher training and continuous development based on operational and patient-experience needs.
- Partners with Clinic Managers, Patient Experience, Finance/RCM, HR, Nursing, and Operations to ensure consistent Front Office standards.
- Leads Front Office training readiness for new clinics, services, systems, and operational workflows.
- Ensures consistent patient journey standards across all hospital outpatient locations.
Qualifications
- Bachelor’s Degree in Healthcare Administration, Business Administration, Hospitality Management, Education/Training, or a related discipline.
- Professional certification in Training and Development, Adult Learning, Customer Experience, or a related field is preferred.
- Strong knowledge of adult-learning principles, competency assessment, training-needs analysis, instructional design, coaching, and training effectiveness measurement.
- Proficiency in hospital information systems, learning management systems, Microsoft Office applications, reporting tools, and preparation of training materials and dashboards.
- Experience in hospital Front Office, Patient Relations, Patient Experience, or healthcare operations.
- Strong knowledge of outpatient workflows, registration, billing, and patient journey processes.
- Excellent communication, interpersonal, and presentation skills.
- PROFESSIONAL EXPERIENCE:
- Preferably 5 years of experience out of which 2 years are in supervising staff with 1 year as an Educator
- Experience in competency assessment, quality auditing, workflow standardization, service improvement, and implementation of new systems or operational processes is required.
- Strong customer-service mindset with a passion for patient-centered care.
- Ability to identify operational gaps and translate them into practical training solutions.
- Strong organizational skills and the ability to work across multiple departments and locations.
