Responsibilities
- Develop, maintain, and enforce company wide document standards, templates, and naming conventions
- Manage the full document lifecycle — creation, version control, archiving, and retrieval
- Build and maintain a centralised filing system accessible to relevant teams
- Ensure all reports, SOPs, and communications are consistent in format and tone
- Act as a communication bridge between the CEO and internal teams across buying, logistics, finance, e commerce, and retail operations
- Draft, proofread, and manage correspondence on behalf of the CEO
- Track action items and follow up with department heads to ensure deadlines are met
- Flag upcoming commitments and remind the CEO of key deadlines and pending items
- Prepare meeting materials, agendas, minutes, and follow up summaries
Requirements
- Bachelor's degree in Business Administration, Communications, or a related field
- 2–4 years of experience in document control, executive assistance, or operations coordination; background in e commerce or retail is an advantage
- Strong written and verbal communication in English
- Proficient in Microsoft Office and document management tools
- High attention to detail with the ability to manage multiple priorities simultaneously
- Comfortable working directly with senior stakeholders
- Discreet and professional in handling sensitive information

Overview
- The Executive Document Controller is a dual function role within the CEO's office, responsible for upholding company wide documentation standards while providing high level operational support to the CEO.
