Responsibilities
- Manage the CEO's complex calendar, including scheduling, rescheduling, and resolving conflicts
- Prioritize appointments and protect executive focus time
- Coordinate meetings with internal teams, clients, suppliers, partners, and external stakeholders
- Arrange travel itineraries, accommodation, and logistics when required
- Manage and prioritize the CEO's inbox and correspondence
- Draft, edit, and proofread professional emails, reports, presentations, letters, and other business documents
- Serve as a key point of contact on behalf of the CEO with professionalism and discretion
- Prepare meeting agendas, briefing documents, and presentation materials
- Record meeting minutes, track action items, and ensure timely follow up
- Coordinate executive meetings, leadership sessions, board meetings, and company events
- Monitor progress of assigned tasks and ensure deadlines are achieved
- Maintain confidential records, documents, and filing systems
Requirements
- Bachelor's degree in Business Administration or a related field is preferred
- Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or Executive Coordinator supporting C level executives
- Excellent written and verbal communication skills in English
- Arabic language skills are highly desirable
- Strong organizational, planning, and multitasking abilities
- Exceptional attention to detail
- High level of integrity, professionalism, and confidentiality
- Proficiency in Microsoft Office Suite and Google Workspace
- Must be currently based in Qatar with a valid QID and transferable visa/NOC

Role Overview
- We are seeking a highly organized, proactive, and discreet Executive Assistant to provide dedicated support to the Chief Executive Officer and senior leadership team.
- This role is ideal for a professional who excels in a fast paced environment, anticipates business needs, and ensures seamless executive operations.
- The successful candidate will play a critical role in managing executive priorities, coordinating internal and external stakeholders, and maintaining the highest level of professionalism and confidentiality.

Required Qualifications & Experience

Preferred Experience
- Previous experience within Retail, FMCG, Hospitality, Food & Beverage, or a fast paced startup environment.
- Familiarity with project management and scheduling tools.
- Experience coordinating with senior executives and cross functional teams.
