Role Overview

  • We are seeking a highly organized, proactive, and discreet Executive Assistant to provide dedicated support to the Chief Executive Officer and senior leadership team.
  • This role is ideal for a professional who excels in a fast paced environment, anticipates business needs, and ensures seamless executive operations.
  • The successful candidate will play a critical role in managing executive priorities, coordinating internal and external stakeholders, and maintaining the highest level of professionalism and confidentiality.

Key Responsibilities

  • Manage the CEO's complex calendar, including scheduling, rescheduling, and resolving conflicts.
  • Prioritize appointments and protect executive focus time.
  • Coordinate meetings with internal teams, clients, suppliers, partners, and external stakeholders.
  • Arrange travel itineraries, accommodation, and logistics when required.
  • Manage and prioritize the CEO's inbox and correspondence.
  • Draft, edit, and proofread professional emails, reports, presentations, letters, and other business documents.
  • Serve as a key point of contact on behalf of the CEO with professionalism and discretion.
  • Communicate effectively with stakeholders in English; Arabic is an added advantage.
  • Prepare meeting agendas, briefing documents, and presentation materials.
  • Record meeting minutes, track action items, and ensure timely follow up.
  • Coordinate executive meetings, leadership sessions, board meetings, and company events.
  • Monitor progress of assigned tasks and ensure deadlines are achieved.

Required Qualifications & Experience

  • Bachelor's degree in Business Administration or a related field is preferred.
  • Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or Executive Coordinator supporting C level executives.
  • Excellent written and verbal communication skills in English.
  • Arabic language skills are highly desirable.
  • Strong organizational, planning, and multitasking abilities.
  • Exceptional attention to detail with the ability to manage multiple priorities.
  • High level of integrity, professionalism, and confidentiality.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Ability to work independently under pressure and meet tight deadlines.
  • Must be currently based in Qatar with a valid QID and transferable visa/NOC.

Preferred Experience

  • Previous experience within Retail, FMCG, Hospitality, Food & Beverage, or a fast paced startup environment.
  • Familiarity with project management and scheduling tools.
  • Experience coordinating with senior executives and cross functional teams.

Compensation

  • Pay: QAR 8,000 QAR 10,000 per month
