Position Overview

  • We are seeking a highly organized and detail oriented Document Controller to support the Human Resources Department by managing employee records, HR documentation, and confidential personnel files.
  • This role is responsible for ensuring accurate document control, compliance with company policies, and the secure maintenance of employee information.

Key Responsibilities

  • Maintain and manage employee files, ensuring all personnel records are accurate, complete, and up to date.
  • Control, organize, and archive HR documents including employment contracts, visas, labor documents, medical records, certifications, and employee correspondence.
  • Ensure confidentiality and security of employee records in compliance with company policies and data protection requirements.
  • Track document expiry dates for visas, passports, Emirates IDs, labor cards, certifications, and other employee related documents.
  • Coordinate with HR team members to obtain, update, and maintain required employee documentation.
  • Prepare and maintain document registers, trackers, and filing systems for HR records.
  • Support onboarding and offboarding processes by ensuring all required documentation is completed and properly filed.
  • Assist with audit preparation by providing accurate and readily accessible HR documentation.
  • Manage document retrieval requests and ensure timely availability of records when required.
  • Support the preparation of HR reports and maintain documentation related to recruitment, training, and employee lifecycle activities.
  • Ensure obsolete documents are archived in accordance with company retention policies.
  • Perform data entry and maintain employee information within HR systems and databases.

Qualifications & Experience

  • Education: Diploma or Bachelor's Degree in Human Resources, Business Administration, or related field.
  • Experience: Minimum 2–5 years of experience in document control, HR administration, personnel administration, or records management.
  • Technical Skills: Proficient in MS Office (Excel, Word, Outlook) and HRMS/ERP systems.
  • Knowledge: Understanding of personnel file management, document control practices, and UAE employment documentation requirements.
  • Skills: Strong organizational skills, attention to detail, confidentiality, and ability to manage multiple priorities.
  • Languages: Fluency in English is mandatory; Arabic is an advantage.
