Location and Assignment

  • The position is based in Jeddah, Saudi Arabia.
  • The assignment is temporary for six months.

Position Summary

Manage end-to-end customs clearance, shipment coordination, documentation control, broker management, authority follow-up, warehouse coordination, and operational reporting.

Support timely goods receipt, regulatory compliance, shorter shipment lead times, and improved service performance.

Shipment Management and Daily Operations

  • Monitor and extract new shipments from internal platforms and in-transit email updates each day.
  • Assign shipment categories and share required details with clearing agents.
  • Send pre-arrival notifications to warehouse teams across distribution centers.
  • Track shipment arrivals with warehouse teams and brokers to ensure correct receipt and goods receipting.
  • Check air and road shipment emails and required shipping documents.
  • Use FASAH reports to confirm clearance status and readiness for sale.
  • Follow up on Q-block shipments and review related operational reports.

SFDA, Quality and Compliance

  • Verify whether SFDA shipments are released, under review, or require further action.
  • Ensure warehouses receive items under Q-block status when SFDA release is pending.
  • Coordinate with SFDA inspectors and provide warehouse locations for sample collection.
  • Follow up on broker proof of payment for required laboratory tests.
  • Resolve rusted or damaged container issues with shipping lines, quality teams, IMS, and brokers.

Documentation and Reporting

  • Update sea shipment trackers, purchase order sheets, SFDA tracking sheets, and DOR operation sheets.
  • Update container tracking files based on cleared shipments and actual operational status.
  • Update transportation tracking files and follow up on broker actions.
  • Refresh delivery plans and daily delivery schedules.
  • Conduct daily health checks on in-yard container reports.

Communication and Broker Performance

  • Follow up with IMS teams regarding missing customs clearance documents.
  • Provide brokers with required documents in advance for virtual requests and clearance activities.
  • Coordinate with Tax, RSA, Finance, Warehouse, IMS, DSP, Quality, and broker teams.
  • Lead daily DOR meetings, participate in OPC calls, and conduct monthly broker performance reviews.
  • Track lead time KPIs, demurrage, detention, and clearance-related delays.

Export and Financial Coordination

  • Coordinate exports from Saudi warehouses to other OPCs and align documentation, clearance requirements, and timelines.
  • Close open purchase orders and resolve GR/IR pending items with Finance.
  • Raise and monitor payment tickets through the required approval, upload, tracking, and closure workflow.
  • Follow up on broker payments, freight invoices, laboratory payments, and other clearance-related financial requirements.

Requirements

  • Minimum two years of experience in customs clearance or supply chain.
  • Bachelor's degree in business or another related field.
  • Excellent communication skills.
  • Very good Excel skills.
  • Previous SAP experience is preferred.
