Scope Of Responsibilities
Responsible for the end-to-end coordination and execution of training programs and vendor site services within ADNOC projects.
Integrates procurement, vendor management, logistics, documentation control, and cost tracking to ensure compliant, efficient, and timely delivery of both classroom-based training and on-site field services.
Acts as a key interface between client, vendors, procurement, and project teams to support operational readiness and project execution.
Primary Duties
Initiate training service requests in procurement systems, defining scope, requirements, and vendor deliverables.
Coordinate collection and submission of training documentation (manuals, syllabi, trainer CVs) for client approval.
Manage document review cycles, including Technical Queries (TQs) and revisions, ensuring compliance with contractual requirements.
Plan and schedule training programs in alignment with project timelines and client availability.
Coordinate logistics for vendor trainers, including visas, travel, accommodation, and site access.
Oversee training delivery and ensure completion of attendance, assessments, certifications, and closeout documentation.
Initiate vendor site service requests aligned with project scope and budgeted man-day allocations.
Coordinate with procurement for issuance of service purchase orders.
Manage vendor site services data in management systems, tracking budgeted and actual man-day usage.
Review and validate Go/No-Go mobilization requests and obtain required approvals.
Prepare and issue vendor mobilization requests and coordinate scheduling with vendors.
Facilitate approval of vendor personnel CVs with site teams.
Coordinate logistics for vendor personnel, including visas, travel, accommodation, and site access.
Monitor vendor performance through daily reports and timesheet validation.
Ensure accurate documentation, tracking, and compliance with contractual requirements.
Job And Cost Impact
Plays a critical role in controlling training and vendor service costs by ensuring accurate scope definition, procurement alignment, and tracking of man-day utilization.
Minimizes financial risk and project delays through effective management of documentation approvals, mobilization processes, and vendor coordination.
Contributes directly to operational readiness and efficient project execution while ensuring compliance with contractual and audit requirements.
Decision Making Authority
Exercises independent judgment in determining readiness of documentation, coordinating schedules, validating vendor mobilization, and managing logistics within approved budgets.
Responsible for tracking service utilization and identifying risks related to delays, cost overruns, or non-compliance, escalating issues to project leadership as required.
Supervisory Responsibility
Provides functional oversight of vendor trainers and field service personnel, ensuring adherence to approved scope, schedules, and quality standards.
Monitors performance and coordinates activities across vendors and project teams, without direct line management responsibility
Work Contacts
Regularly interfaces with internal teams including procurement, commissioning, construction, and project management, as well as external stakeholders such as client representatives (ADNOC), vendors, and field service personnel.
Maintains continuous coordination to ensure alignment on documentation, approvals, logistics, and service execution
Minimum Requirement
Bachelor’s degree in Engineering, Business Administration, Human Resources, or a related field.
5–8 years of experience in training coordination, vendor services, or project operations within oil & gas or large-scale industrial projects.
Experience with procurement systems, vendor coordination, and documentation approval processes.
Familiarity with commissioning and site-based project environments.
Strong organizational, communication, and multitasking skills.
Proficiency in Microsoft Office and relevant management systems.
