ROLE PURPOSE

  • As a Sales Admin, you will be responsible for supporting the sales team and showroom operations by handling sales documentation, customer records, coordination, reporting, and administrative follow up.
  • You will play a key role in ensuring smooth sales processes, accurate paperwork, timely coordination, and professional customer support within a dynamic automotive environment in Abu Dhabi, United Arab Emirates.

KEY RESPONSIBILITIES

  • Maintain accurate sales records and files.
  • Prepare sales documents and related paperwork.
  • Support daily showroom sales administration tasks.
  • Maintain confidentiality of customer and company information.
  • Coordinate with sales consultants and showroom management.
  • Assist in preparing quotations, invoices, receipts, and sales forms.
  • Update customer information, sales records, and internal trackers.
  • Follow up on pending documents, approvals, signatures, and requirements.
  • Ensure all sales related documents are complete, accurate, and properly filed.
  • Coordinate with finance, logistics, registration, insurance, and operations teams when required.
  • Prepare basic sales reports, summaries, trackers, and administrative updates when required.
  • Assist in monitoring sales progress, customer status, vehicle status, and pending transactions.

QUALIFICATIONS

  • Good communication skills.
  • Strong attention to detail and accuracy.
  • Professional appearance, attitude, and conduct.
  • Good organization and time management skills.
  • Ability to communicate clearly in English is required.
  • Arabic language skills or additional languages are preferred.
  • Ability to prepare clear reports, trackers, schedules, and supporting documents.
  • Ability to handle confidential customer and sales information with professionalism.
  • Ability to work under pressure, meet deadlines, and manage multiple tasks efficiently.
  • Good knowledge of MS Office, email communication, documentation, and administrative systems.
  • Ability to coordinate professionally with customers, employees, management, suppliers, banks, and external parties.
  • Previous experience in sales administration, showroom administration, customer service, documentation, back office support, or coordination roles is preferred.

WORK CONDITIONS

  • Full time position based in Abu Dhabi, United Arab Emirates.
  • Office and showroom based duties across sales and administration areas.
  • Rotational shifts, including weekends, public holidays, and evening shifts as required by business operations.
  • Regular use of MS Office, email, CRM systems, ERP systems, sales trackers, customer documents, and administrative tools.
  • Direct interaction with customers, sales teams, finance, logistics, registration, insurance, management, and external parties.
  • May require extended working hours during month end closing, sales campaigns, vehicle deliveries, showroom events, urgent documentation, or operational requirements.
