- Answer, screen, and direct incoming calls with professionalism and speed
- Manage front desk operations: greet visitors, verify appointments, and coordinate meeting room access
- Process and distribute incoming/outgoing mail, packages, and courier deliveries with accurate tracking
- Maintain updated digital and physical records of visitor logs, contact details, and office communications
- Support administrative tasks including scheduling, calendar management, and basic data entry for procurement and logistics teams
- Collaborate with HR and Facilities to ensure smooth onboarding of new hires and office upkeep standards
Requirements
- Microsoft Office Suite (Word, Excel, Outlook)
- CRM software experience (HubSpot, Zoho, or similar)
- Basic invoicing or purchase order processing
- Fluent English verbal and written communication
- Strong phone etiquette and call handling protocols
- Experience with visitor management systems or digital sign in tools

Role & Responsibilities
- Answer, screen, and direct incoming calls with professionalism and speed—ensuring zero missed client or partner communications.
- Manage front desk operations: greet visitors, verify appointments, and coordinate meeting room access for internal and external stakeholders.
- Process and distribute incoming/outgoing mail, packages, and courier deliveries with accurate tracking and timely handoff.
- Maintain updated digital and physical records of visitor logs, contact details, and office communications.
- Support administrative tasks including scheduling, calendar management, and basic data entry for procurement and logistics teams.
- Collaborate with HR and Facilities to ensure smooth onboarding of new hires and office upkeep standards are met.
Skills & Qualifications
- Must Have: Microsoft Office Suite (Word, Excel, Outlook); CRM software experience (HubSpot, Zoho, or similar); Basic invoicing or purchase order processing; Fluent English verbal and written communication; Strong phone etiquette and call handling protocols; Experience with visitor management systems
- Preferred: Arabic language proficiency (spoken or written); Familiarity with UAE customs or logistics industry terminology; Previous experience in trade, shipping, or logistics offices.
