Job Summary

  • The Procurement Assistant will provide essential administrative and operational support to the procurement department, ensuring efficient and timely acquisition of goods and services.
  • This role is crucial for maintaining strong vendor relationships, managing purchase orders, and supporting the overall purchasing process to meet organizational needs and objectives.

Key Responsibilities

  • Assist in the preparation and processing of purchase orders and requisitions, ensuring accuracy and adherence to company policies and procedures.
  • Communicate regularly with suppliers to track order status, resolve discrepancies, and ensure timely delivery of goods and services.
  • Maintain and update procurement records, including vendor information, purchase orders, contracts, and delivery schedules, ensuring data integrity and accessibility.
  • Conduct basic market research to identify potential suppliers, compare prices, specifications, and delivery dates to support sourcing decisions.
  • Support inventory management activities by coordinating with warehouse staff on incoming deliveries and stock levels.
  • Process invoices and collaborate with the finance department to ensure accurate and timely payment to vendors.
  • Assist in the resolution of supplier issues, such as delivery delays, quality concerns, or billing errors, escalating complex problems to senior procurement staff when necessary.
  • Prepare various procurement reports, including spend analysis, supplier performance, and cost savings initiatives.
  • Ensure compliance with company purchasing policies, ethical guidelines, and relevant regulatory requirements.
  • Participate in vendor meetings and negotiations as required, taking notes and assisting with documentation.
