The Principal Document Controller solves atypical or infrequent document management problems using established practices and precedents.
The role directly impacts team work quality and communicates technical document control information while suggesting process improvements.
Key Tasks and Responsibilities
- Develop document management execution plans and work instructions aligned with client requirements and company standards.
- Become familiar with contract requirements, project standards, procedures, EDMS platforms, formats, and document delivery requirements.
- Set up project EDMS platforms to meet client and company technical requirements.
- Manage project staffing plans and budgets and advise project management on document management issues and interfaces.
- Facilitate the timely flow and sharing of technical information among project teams, clients, suppliers, subcontractors, and partners through the EDMS.
- Prepare, review, and issue document status reports, including the master document register.
- Supervise document management personnel and provide timely performance feedback to department management.
- Train project personnel and document management staff on document management procedures and systems, including Unifi.
- Maintain, develop, and improve document management processes, systems, and tools.
- Participate in and lead internal and external audits, provide project status reports, and engage MOPEX counterparts.
- Deliver handover and turnover information, archive project records, and provide lessons learned.
- When acting as Lead Document Controller, direct teams, coordinate discipline interfaces, manage scope and resources, and serve as a project point of contact.
Essential Qualifications and Education
- Bachelor’s degree in any field or an equivalent diploma, preferably in Computer Science.
- At least 10 to 15 years of document management experience with a major contractor or consultant.
- Good knowledge of EDMS software, Microsoft Office, Adobe, and industry-utilized EDMS tools.
- Experience with technical activities, including onshore and offshore operations.
- Extensive functional, business, industry, and leadership expertise.
- Ability to work as a team member and act as a team leader.
- Excellent organizational, time management, communication, and decision-making skills.
- Certified iDocs Trainer is preferred.
