Responsibilities
- Manage executive calendars, prioritize meetings, and coordinate domestic/international travel logistics across the UAE and GCC.
- Prepare briefing documents, draft professional correspondence, and maintain strict confidentiality on sensitive matters.
- Act as primary point of contact between leadership and internal teams, external vendors, and government authorities.
- Oversee office administration, expense reporting, invoice processing, and vendor coordination for seamless operations.
- Handle ad hoc requests including research, data organization, and project support for executive initiatives.
- Monitor deadlines, follow up on deliverables, and proactively identify scheduling or operational bottlenecks.
Requirements
- Must Have: Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Must Have: Calendar & scheduling tools (Google Calendar, Calendly, or equivalent)
- Must Have: Travel coordination platforms (Amadeus, Sabre, or Expedia Corporate)
- Must Have: Professional email & communication etiquette
- Must Have: Document management & filing systems
- Must Have: Expense reporting & financial tracking tools (SAP, QuickBooks, or Zoho)
- Must Have: UAE visa & government portal familiarity (GDRFA, MOI, DED)
- Must Have: Arabic & English fluency (written and spoken)

- Must Have: UAE visa & government portal familiarity (GDRFA, MOI, DED)

- Preferred: Experience supporting C suite or senior executives in trading/logistics sectors
- Preferred: Basic knowledge of import/export documentation (Commercial Invoice, Certificate of Origin, etc.)
- Preferred: CRM tools (HubSpot, Salesforce, or Zoho CRM)
