Role Summary

  • The Order Management Specialist is responsible for managing end to end quotation lifecycle activities.
  • Ensures timely processing of customer RFQs, maintains accurate system records, and drives conversion of quotations into confirmed orders.
  • Focuses on improving operational efficiency, supporting commercial execution, and ensuring smooth coordination.

Key Responsibilities

  • Monitor and manage daily Requests for Quotation (RFQs), ensuring timely follow up and processing.
  • Track and update quotation status in ERP systems, including customer interactions, follow up actions, expected closure timelines, and delay reasons.
  • Ensure timely conversion of quotations into confirmed orders and update system records accordingly.
  • Maintain accurate and up to date documentation of all quotation activities in relevant business systems.
  • Coordinate with customers and internal stakeholders to ensure smooth progression of quotations through the sales cycle.
  • Generate regular reports on open quotations, quote aging, conversion rates, lost opportunities, and pending follow ups.
  • Provide weekly and monthly performance reports to management.
  • Escalate commercial or operational issues such as pricing concerns, approval delays, or payment related blocks.
  • Facilitate communication between departments to ensure efficient order conversion and resolution of bottlenecks.

Qualifications & Skills

  • Bachelor's degree in Engineering, Business Administration, or equivalent.
  • Minimum 5 10 years of experience in service operations, sales support, or commercial operations within Large Manufacturing/Engineering industry is a must.
  • Strong proficiency in Microsoft Office, particularly Excel for reporting and analysis.
  • Working knowledge of ERP systems (e.g., SAP or similar platforms).
  • Strong analytical, organizational, and reporting skills.
  • Excellent communication skills in English; Arabic is an advantage.
  • Ability to manage multiple priorities in a fast paced, deadline driven environment.
