Role Summary

  • The Order Management Specialist is responsible for managing end to end quotation lifecycle activities, ensuring timely processing of customer RFQs, maintaining accurate system records, and driving conversion of quotations into confirmed orders.

Key Responsibilities

  • Monitor and manage daily Requests for Quotation (RFQs), ensuring timely follow up and processing.
  • Track and update quotation status in ERP systems, including customer interactions, follow up actions, expected closure timelines, and delay reasons.
  • Ensure timely conversion of quotations into confirmed orders and update system records accordingly.
  • Maintain accurate and up to date documentation of all quotation activities in relevant business systems.
  • Coordinate with customers and internal stakeholders to ensure smooth progression of quotations through the sales cycle.
  • Generate regular reports covering open quotations, quote aging, conversion rates, lost opportunities, and pending follow ups.
  • Prepare and submit weekly and monthly performance reports to management.
  • Escalate commercial and operational issues, including pricing concerns, approval delays, and payment related blocks.
  • Facilitate cross functional communication between departments to ensure smooth order conversion and timely resolution of bottlenecks.

Qualifications & Skills

  • Bachelor’s degree in Engineering, Business Administration, or equivalent.
  • Minimum 5 10 years of experience in service operations, sales support, or commercial operations within Large Manufacturing/Engineering industry is a must.
  • Strong proficiency in Microsoft Office, particularly Excel for reporting and analysis.
  • Working knowledge of ERP systems (e.g., SAP or similar platforms).
  • Strong analytical, organizational, and reporting skills.
  • Must be a Native Arabic Speaker.
  • Ability to manage multiple priorities in a fast paced, deadline driven environment.
