Overview

  • CitizenShip & Co. is a premium advisory firm specialising in Citizenship by Investment (CBI), Residency by Investment (RBI), and Corporate Services. We're looking for a highly organised, proactive, and ambitious Operations Executive to become the operational backbone of our business.

Immigration Operations

  • Develop and maintain expert knowledge of all Citizenship by Investment (CBI) and Residency by Investment (RBI) programmes
  • Maintain up to date knowledge of Türkiye, Antigua & Barbuda, Dominica, Grenada, St Kitts & Nevis, Saint Lucia programmes
  • Monitor government announcements, policy updates, processing times, eligibility criteria, government fees, investment options, and programme changes
  • Continuously research new immigration opportunities and investment migration developments worldwide
  • Maintain and regularly update internal programme guides, SOPs, knowledge bases, and operational documentation
  • Support consultants by preparing complete and accurate client files
  • Verify documentation before submission
  • Ensure all information provided to clients remains accurate, compliant, and up to date

Client Relationship Management

  • Handle enquiries professionally via phone, email, WhatsApp, and other communication channels
  • Follow up with prospective and existing clients
  • Build strong professional relationships with clients throughout their journey
  • Schedule consultations and appointments
  • Request outstanding documentation
  • Keep clients informed throughout their application process
  • Deliver exceptional customer service at every stage

CRM & Lead Management

  • Manage and maintain Zoho CRM
  • Record every enquiry accurately
  • Update client records and communication history
  • Track follow ups and sales pipeline stages
  • Generate reports when required
  • Maintain CRM accuracy and organisation
  • Ensure no lead or client enquiry is missed

Office & Business Operations

  • Manage day to day office operations
  • Prepare reports, presentations, proposals, contracts, and business documentation
  • Maintain organised digital and physical filing systems
  • Coordinate meetings, calendars, office supplies, vendors, and administrative activities
  • Improve workflows using automation and technology
  • Recommend better systems and operational improvements
  • Support management with strategic projects and daily business operations

HR Administration

  • Coordinate recruitment activities and interview scheduling
  • Support employee onboarding and offboarding
  • Prepare employment documentation
  • Coordinate employment visa and Emirates ID applications
  • Maintain employee records, attendance, leave records, and HR documentation
  • Assist with payroll preparation and HR compliance

Finance Administration

  • Prepare invoices and financial documentation
  • Assist with payroll processing
  • Process business payments through Wio Business
  • Maintain expense records and supporting documents
  • Support bookkeeping and reconciliations using Zoho Books
  • Assist management with day to day financial administration

AI & Technology

  • Use Microsoft 365 daily, including Outlook, Word, Excel, PowerPoint, Teams, and OneDrive
  • Use AI tools such as ChatGPT and Microsoft Copilot to improve productivity and automate repetitive tasks
  • Research immigration programme updates using reliable government and industry sources
  • Recommend new technologies, automations, and process improvements that increase efficiency across the business

Essential Requirements

  • Minimum 2 years' experience in operations, administration, immigration consultancy, HR, finance support, or corporate services
  • Excellent written and spoken English
  • Outstanding communication and customer service skills
  • Professional telephone, email, and WhatsApp etiquette
  • Strong organisational and multitasking abilities
  • Excellent attention to detail and accuracy
  • Ability to manage confidential information professionally
  • Ability to work independently, prioritise tasks, and take ownership
  • Fast learner with a proactive mindset
  • Comfortable working in a fast paced environment
