Responsibilities
- Provide end to end diary management for Managing Directors
- Coordinate meetings, prepare agendas, manage room/VC bookings
- Coordinate complex travel (flights, hotels, visas, trains, cars)
- Process expenses, submit invoices, liaise with finance and billing teams
- Maintain Salesforce activity and ensure data integrity
- Prepare, format, and quality check documents (Word, Excel, PowerPoint)
- Book venues, manage logistics for internal and client events
- Coordinate onboarding for new joiners
- Maintain holiday records and provide EA holiday cover
- Attend meetings, take minutes, track actions, and ensure follow through
- Support internal communications and team updates
Requirements
- Proven experience as an Executive Assistant, ideally within professional services or fast paced operational environment
- Strong organizational and time management skills with exceptional attention to detail
- Ability to manage multiple priorities and maintain operational discipline
- Strong communication and stakeholder management skills
- Proactive, adaptable, and solutions focused approach
- High level of discretion and professionalism
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Fluent in Arabic and English

About the Role
- We are seeking a highly organised, operations minded Executive Assistant to support the Managing Directors.
- This role is central to ensuring smooth day to day operations, optimising workflows, and enabling senior leaders to focus on strategic priorities.
Key Responsibilities
- Executive operations support: end to end diary management.
- Meeting & logistics coordination: scheduling, preparing agendas, managing room/VC bookings.
- Travel operations: coordinating complex travel (flights, hotels, visas, trains, cars).
- Financial administration: processing expenses, submitting invoices, liaising with finance.
- CRM & data accuracy: maintaining Salesforce activity, ensuring data integrity.
- Document production: preparing, formatting, and quality checking documents.
- Event & venue coordination: booking venues, managing logistics.
- Onboarding operations: coordinating onboarding for new joiners.
- Team operations management: maintaining holiday records, providing EA holiday cover.
- Meeting governance: attending meetings, taking minutes, tracking actions.
- Internal communications: supporting newsletters and team updates.
- General operations & admin: managing day to day administrative tasks.
Qualifications & Experience
- Proven experience as an Executive Assistant, ideally within professional services or fast paced operational environment.
- Strong organisational and time management skills with exceptional attention to detail.
- Ability to manage multiple priorities and maintain operational discipline.
- Strong communication and stakeholder management skills.
- Proactive, adaptable, and solutions focused approach.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience with CRM or ERP systems is advantageous.
- Fluent in Arabic and English; additional languages are a plus.
