Responsibilities
- Provide end to end diary management for Managing Directors
- Coordinate meetings and logistics including scheduling, agendas, room/VC bookings
- Coordinate complex travel (flights, hotels, visas, trains, cars) and ensure cost effective itineraries
- Process expenses, submit invoices, and liaise with finance and billing teams
- Maintain Salesforce activity and ensure data integrity
- Prepare, format, and quality check documents (Word, Excel, PowerPoint)
- Book venues, manage logistics, and support internal and client events
- Coordinate onboarding for new joiners and ensure operational readiness
- Maintain holiday records, provide EA holiday cover, and ensure continuity of support
- Attend meetings, take minutes, track actions, and ensure follow through
- Support newsletters and team updates
- Manage day to day administrative tasks and operational workflows
Requirements
- Proven experience as an Executive Assistant, ideally within professional services or a fast paced operational environment
- Strong organizational and time management skills with exceptional attention to detail
- Ability to manage multiple priorities and maintain operational discipline
- Strong communication and stakeholder management skills
- Proactive, adaptable, and solutions focused approach
- High level of discretion and professionalism
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Fluent in Arabic and English

About the Role
- We are seeking a highly organised, operations minded Executive Assistant to support the Managing Directors.
- This role is central to ensuring the smooth running of day to day operations, optimising workflows, and enabling senior leaders to focus on strategic priorities.
Key Responsibilities
- Executive operations support end to end diary management, ensuring time is optimised and priorities are aligned
- Meeting & logistics coordination scheduling, preparing agendas, managing room/VC bookings, and ensuring operational readiness
- Travel operations coordinating complex travel (flights, hotels, visas, trains, cars) and ensuring cost effective, seamless itineraries
- Financial administration processing expenses, submitting invoices, and liaising with finance and billing teams
- CRM & data accuracy maintaining Salesforce activity, ensuring data integrity and supporting pipeline visibility
- Document production preparing, formatting, and quality checking documents (Word, Excel, PowerPoint)
- Event & venue coordination booking venues, managing logistics, and supporting internal and client events
- Onboarding operations coordinating onboarding for new joiners and ensuring operational readiness
- Team operations management maintaining holiday records, providing EA holiday cover, and ensuring continuity of support
- Meeting governance attending meetings, taking minutes, tracking actions, and ensuring follow through
- Internal communications supporting newsletters and team updates
- General operations & admin managing day to day administrative tasks and operational workflows
Qualifications & Experience
- Proven experience as an Executive Assistant, ideally within professional services or a fast paced operational environment
- Strong organisational and time management skills with exceptional attention to detail
- Ability to manage multiple priorities and maintain operational discipline
- Strong communication and stakeholder management skills
- Proactive, adaptable, and solutions focused approach
- High level of discretion and professionalism
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with CRM or ERP systems is advantageous
- Fluent in Arabic and English; additional languages are a plus
