Job Summary

  • We are looking for a well organized and customer focused Office Administrator (Arabic or Russian speaker) to join our car detailing and PPF studio.
  • The role is the first point of contact for our clients and supports the daily operations of the workshop — handling bookings, invoicing, customer follow ups, and general administration while ensuring a premium customer experience in line with our brand.

Key Responsibilities

  • Front Desk & Customer Service: Welcome walk in customers and act as the first point of contact at the reception.
  • Handle customer inquiries via phone, WhatsApp, email, and social media in English and Arabic/Russian.
  • Explain services (detailing, PPF, ceramic coating, tinting, polishing) and pricing packages to customers.
  • Schedule appointments and manage the daily booking calendar for the workshop.
  • Follow up with customers on vehicle status, collection time, and after service feedback.
  • Administration & Coordination: Prepare quotations, invoices, and receipts; follow up on pending payments.
  • Maintain accurate records of job cards, vehicle check in/check out condition reports, and warranty documents.
  • Coordinate between customers and the workshop team on job progress and delivery timelines.
  • Maintain and update the customer database/CRM for follow ups and repeat business.
  • Manage petty cash, daily sales reports, and end of day cash reconciliation.
  • Monitor office and workshop consumables; raise purchase requests when stock is low.
  • Support HR/PRO tasks such as attendance tracking and basic document filing.

Requirements

  • Fluent in Arabic or Russian plus English (spoken and written) — mandatory.
  • 1–3 years of experience as an Office Administrator, Receptionist, or Customer Service Executive; automotive, car detailing, or luxury services background is a strong advantage.
  • Proficient in MS Office (Excel, Word) and comfortable with invoicing/CRM software.
  • Presentable, well groomed, and confident dealing with premium/VIP clients.
  • Strong organizational and multitasking skills with attention to detail.
  • Knowledge of car detailing/PPF services is a plus (training will be provided).
  • Currently in the UAE with transferable visa preferred / own visa an advantage.

Salary

  • Pay: Up to AED5,000.00 per month
