About the role
- Supports the requirements and effective administration of document maintenance and logistical support to the line manager and department.
- Systematically improves and organizes the filing system and database, coordinating documents with other departments.
Key Responsibilities
- Distribute correspondences, mail and send faxes. Record all incoming and outgoing documents.
- Assume counter receptionist duties, greet employees and assist them with appropriate staff members.
- Arrange and prepare refreshments for meetings. Assist clients/guests as required.
- Maintain a proper filing system. File documents, letters and other correspondence into analogous files.
- File all documents in respective files/folders within 24 hours from receipt, with zero errors.
- Update and maintain the database at all times.
- Monitor office/pantry supplies consumption and prepare replenishment requisitions.
- Undertake cleaning activities for the area and keep the area clean and tidy.
- Wash and clean material in the pantry so it is ready for use.
- Prepare and serve beverages to employees and guests and undertake all other kitchen duties.
- Perform other department duties as directed by the Head of the Department.
About You
- Basic Literacy and Numeracy skills, English communication skills with Entry level roles no prior job related work experience.
- Ability to foster teamwork among team members.
- Ability to process and work with confidential information, self manage assignments.
- Excellent administrative capabilities to assist departmental needs.
