Overview

  • We are looking for Fleet & Office Services Specialist who will be responsible for supporting the day to day management of the company's leased vehicle fleet and office services.

Fleet Management

  • Coordinate day to day fleet operations, including vehicle requests, quotations, ordering, deliveries, handovers, returns, and contract renewals
  • Administer fleet documentation, vehicle allocations, driver authorizations, and related records
  • Coordinate with leasing companies regarding accidents, replacements, and other operational matters
  • Manage fuel card administration and monitor fuel related activities
  • Review fleet invoices and coordinate with Finance and suppliers to resolve discrepancies
  • Prepare fleet reports covering vehicle status, contract expiries, utilization, and operational costs
  • Support sourcing activities for fleet requirements and maintain effective relationships with approved suppliers
  • Ensure fleet operations comply with company policies and procedures

Office Services Support

  • Support sourcing and administration of office service contracts, including cleaning, security, maintenance, pest control, hospitality, and office furniture
  • Coordinate corporate mobile communication services, including SIM card administration, service requests, and liaison with telecom service providers
  • Coordinate with suppliers to ensure timely delivery of agreed services
  • Support contract follow up and supplier performance reviews
  • Assist with accommodation related activities whenever required
  • Support office operational requests and coordinate with internal stakeholders to ensure efficient service delivery

General Responsibilities

  • Coordinate with Procurement, Finance, HR, and other stakeholders to support operational activities
  • Maintain accurate operational records and documentation
  • Identify operational improvement opportunities and support cost optimization initiatives
  • Perform other related duties as assigned by the line manager

Are you the one?

  • Bachelor degree in Business Administration or related field
  • 2 5 years in fleet management / Administration / Facility
  • Excellent communication, coordination and follow up skills
  • Strong problem solving and analytical skills
  • Proficiency in Microsoft Office, particularly Excel
  • Excellent English & Arabic communication skills
