- Manage the CEO’s calendar and daily schedule
- Coordinate meetings, prepare agendas and follow up actions
- Organize travel arrangements and logistics
- Draft and translate correspondence and documents in Russian and English
- Prepare presentations and reports
- Maintain accurate expense records and reimbursements
- Act as key point of contact between CEO and internal/external stakeholders
- Handle confidential materials with discretion
- Support special projects and initiatives as needed
Requirements
- Strong Executive Administrative Assistance and Executive Support skills
- Proficiency in Diary Management and scheduling
- Experience with Expense Reports and related financial documentation
- Solid Administrative Assistance capabilities
- Fluency in Russian and English (spoken and written)
- Prior experience supporting C level executives, preferably in investment, finance, or professional services
- Strong organizational skills, attention to detail, and ability to manage multiple tasks
- High level of professionalism, discretion, and reliability
- Proficiency with office productivity tools (e.g., MS Office Suite, calendar and conferencing tools)
- Bachelor's degree in Business Administration, Management, or related field, or equivalent practical experience

Role Description
- Full time, on site role providing high level administrative and organizational support to the CEO.
- Responsibilities include managing the CEO’s calendar and daily schedule, coordinating meetings, preparing agendas and follow up actions, and organizing travel arrangements and logistics.
- Drafting and translating correspondence and documents in Russian and English, preparing presentations and reports, and maintaining accurate expense records and reimbursements.
- Act as a key point of contact between the CEO and internal and external stakeholders, ensuring efficient information flow, handling confidential materials with discretion, and supporting special projects and initiatives as needed.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including handling high level correspondence and confidential information.
- Proficiency in Diary Management and scheduling, with the ability to prioritize and coordinate complex calendars.
- Experience with Expense Reports and related financial documentation, ensuring accuracy and timely processing.
- Solid Administrative Assistance capabilities, including organizing meetings, maintaining records, and preparing documents.
- Fluency in Russian and English (spoken and written), with excellent communication and drafting skills.
- Prior experience supporting C level executives, preferably in investment, finance, or professional services environments.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast paced setting.
- High level of professionalism, discretion, and reliability, with a service oriented mindset.
- Proficiency with office productivity tools (e.g., MS Office Suite, calendar and conferencing tools).
