Overview

As an Events Coordinator, you are responsible for assisting in the planning, coordination, and execution of all hotel events, meetings, and conferences.

This role supports client communication, prepares event documentation, ensures accurate internal coordination, and facilitates smooth event operations to deliver exceptional guest experiences.

The position requires strong organizational skills, attention to detail, and effective communication across all hotel departments.

Main Duties And Responsibilities

  • Assist in organizing and coordinating all hotel events, including setup, logistics, schedules, and on-site support.
  • Prepare and update Banquet Event Orders , event diagrams, and detailed timelines for internal distribution.
  • Ensure all event details are communicated accurately to relevant departments such as Banquets, Culinary, IT, Housekeeping, and Security.
  • Serve as a primary point of contact for clients during the planning and execution phases.
  • Conduct site inspections, respond to client inquiries, and support event customization based on client needs.
  • Provide post-event follow-up, gather feedback, and ensure client satisfaction.
  • Maintain accurate records of event files, contracts, correspondence, and payment tracking.
  • Update event calendars, schedules, and reports for management review.
  • Assist with invoicing, deposits, billing summaries, and revenue documentation.
  • Support the Events team during event days, ensuring smooth operations and adherence to planned schedules.
  • Monitor event setups to ensure that standards, layouts, and client requests are fully met.
  • Conduct pre-event briefings and update departments on any event revisions or last-minute changes.
  • Report operational issues promptly and support problem-solving to ensure event success.
  • Ensure all events are delivered with high service standards aligned with the hotel s brand expectations.
  • Support compliance with health, safety, hygiene, and security requirements for all events.
