Document Control System and Numbering
- Maintain the project EDMS, document control database, and logs for drawings, documents, and correspondence.
- Number, code, and file documents according to the approved Project Document Control Procedure.
- Maintain master document and drawing registers with revisions, statuses, and issue dates.
Correspondence and Transmittals
- Receive, log, and distribute incoming and outgoing correspondence, drawings, and documents.
- Prepare and issue transmittals to clients, consultants, subcontractors, and internal teams.
- Track RFIs, material submittals, shop drawings, approvals, and outstanding responses.
Filing, Archiving and Retrieval
- Maintain organized physical and electronic filing systems for project teams.
- Control revisions, supersede obsolete documents, and prevent outdated documents from being used on site.
- Archive closed-out project documentation according to retention requirements.
Coordination and Support
- Coordinate with Engineering, QA/QC, Procurement, HSE, and Site teams on controlled documents.
- Prepare document status, submittal, and correspondence reports for management and client reporting.
- Assist with audit and project handover or close-out documentation.
