Job Purpose

  • The role of Document Controller at Basatin Landscaping is pivotal in ensuring effective management, organization, and control of project and operational documentation within the Operations Construction department.
  • Based in Abu Dhabi, this position supports smooth project execution through meticulous oversight of documentation workflows and compliance.

Roles, Responsibilities & Duties

  • Maintain and oversee the accurate filing and archiving of all project documentation, ensuring easy retrieval and version control.
  • Coordinate and implement QA/QC documentation procedures in collaboration with project teams.
  • Facilitate communication and information flow between various stakeholders including contractors, suppliers, and internal departments.
  • Assist in the preparation and distribution of reports, drawings, and specifications related to landscaping, irrigation, and utility services.
  • Monitor and update the document management system regularly, ensuring data integrity and security.
  • Support site supervision teams with timely access to technical documentation necessary for landscaping execution and MEP coordination.
  • Ensure accountability by tracking documentation deadlines and expiry dates, taking appropriate action to maintain compliance.
  • Work collaboratively within the Operations Construction team, fostering a culture of teamwork and customer focus.

Qualification

  • Successful candidates will typically have completed a relevant certification or diploma related to document control, construction management, or administrative support.
  • Familiarity with landscaping, irrigation, and utility services documentation is highly advantageous.
  • A foundational understanding of Tech & Data Fluency is desirable.
  • Competencies include a strong action oriented mindset, excellent communication skills, and a solid grasp of QA/QC procedures.

Experience & Skills

  • Proven experience in document control or similar administrative roles within construction or landscaping industries.
  • Strong understanding of MEP coordination and site supervision processes.
  • Experience in managing project documentation within a customer focused operational environment.
  • Key skills include effective teamwork, ability to manage multiple document workflows simultaneously, and ensuring strict compliance with regulatory and quality standards.
  • Familiarity with irrigation system setup and landscaping project execution documentation will be beneficial.
  • Proficiency with document management software, data entry accuracy, and effective communication with diverse teams are critical.
