- Manage day to day office administration and general office coordination
- Support employee onboarding, including documentation, joining formalities, access coordination, and internal setup
- Support the initial administrative setup of new customers, including collecting required documents and coordinating internal approvals
- Maintain employee, supplier, contractor, and company records in an organized manner
- Coordinate travel, hotel bookings, meeting arrangements, and visitor logistics
- Support management with administrative tasks, reports, presentations, and correspondence
- Assist with coordination between the Dubai office and global/internal Tate teams
- Maintain office filing systems, document registers, and shared folders
- Support procurement and finance teams with administrative documentation such as vendor forms, invoices, purchase orders, delivery notes, and approvals
- Liaise with external service providers including office vendors, maintenance providers, insurance providers, and government related service partners
Requirements
- Minimum 8 10 years' experience in administration, office coordination, or business support
- Previous UAE or GCC experience preferred
- Strong organizational and multitasking skills
- Good understanding of office administration, document control, and business support processes
- Excellent written and verbal communication skills in English
- Strong Microsoft Office skills, especially Outlook, Excel, Word, and PowerPoint
- High attention to detail and ability to keep accurate records

Role Overview
- The Administration Coordinator will be responsible for supporting the day to day administration of the Dubai office, ensuring efficient office operations, compliance with company processes, and coordination of administrative activities across the business.
Key Responsibilities
- Manage day to day office administration and general office coordination.
- Support employee onboarding, including documentation, joining formalities, access coordination, and internal setup.
- Support the initial administrative setup of new customers, including collecting required documents, coordinating internal approvals, and ensuring customer information is passed to the relevant teams for SAP setup.
- Maintain employee, supplier, contractor, and company records in an organized manner.
- Coordinate travel, hotel bookings, meeting arrangements, and visitor logistics.
- Support management with administrative tasks, reports, presentations, and correspondence.
- Assist with coordination between the Dubai office and global/internal Tate teams.
- Maintain office filing systems, document registers, and shared folders.
- Support procurement and finance teams with administrative documentation such as vendor forms, invoices, purchase orders, delivery notes, and approvals.
- Liaise with external service providers including office vendors, maintenance providers, insurance providers, and government related service partners where required.
- Assist with company policies, procedures, compliance documentation, and internal communications.
- Support preparation of documents required for customer, contractor, supplier, and government submissions.
Required Experience & Skills
- Minimum 8 10 years' experience in administration, office coordination, or business support.
- Previous UAE or GCC experience is preferred.
- Strong organizational and multitasking skills.
- Good understanding of office administration, document control, and business support processes.
- Excellent written and verbal communication skills in English.
- Strong Microsoft Office skills, especially Outlook, Excel, Word, and PowerPoint.
- Ability to coordinate with different stakeholders including employees, managers, suppliers, contractors, and service providers.
- High attention to detail and ability to keep accurate records.
- Professional, discreet, and reliable.
Preferred Experience
- Experience in construction, fit out, engineering, infrastructure, data centers, or manufacturing/supply environments.
- Experience supporting onboarding, HR administration, procurement administration, or finance documentation.
- Familiarity with UAE business documentation and government related processes would be an advantage.
