Role Description

  • We are urgently hiring a Back Office Operations Coordinator in Dubai. This is not a junior admin role. We are looking for someone with strong Dubai work experience who can support fast moving daily operations, coordinate between management, staff, vendors, clients, and service partners, and ensure t

Responsibilities

  • Coordinate daily back office operations and service requests
  • Follow up with staff, vendors, clients, and management
  • Maintain trackers, schedules, reports, and operational documents
  • Handle email, WhatsApp, calls, and client/service communication
  • Support recruitment, onboarding, staff documentation, and admin tasks
  • Track pending matters and ensure tasks are closed on time
  • Coordinate travel, concierge, hospitality, and service related requests
  • Keep operations organized, updated, and moving efficiently

Requirements

  • More than 5 years of Dubai work experience
  • Strong computer skills: Excel, Word, email, WhatsApp, and online tools
  • Experience in operations coordination, admin support, hospitality, concierge, facilities, manpower, travel, customer service, or service based companies
  • Strong follow up and communication skills
  • Able to multitask and work under pressure
  • Organized, detail oriented, and responsible
  • Must be based in Dubai
  • Able to work 6 days a week
  • Immediate joiners preferred

Qualifications

  • Strong operations management skills, with experience coordinating day to day activities, workflows, and service delivery in a fast paced environment.
  • Excellent communication and customer service skills, with the ability to build trust, manage expectations, and respond professionally to diverse client needs.
  • Proficient analytical skills to interpret data, identify trends, improve processes, and support decision making.
  • Solid administrative assistance capabilities, including scheduling, documentation, record keeping, and use of productivity tools.
  • Proven experience in hospitality, concierge services, lifestyle management, or a related service focused industry is highly beneficial.
  • Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple requests simultaneously.
  • Comfort with technology, including CRM systems, scheduling software, and standard office applications.
  • Bachelor’s degree in Business Administration, Hospitality Management, or a related field preferred, or equivalent relevant experience.
  • Ability to work on site in Dubai and maintain a client focused, professional, and discreet approach at all times.
