About the Company

  • The Senior Logistics Executive is responsible for managing all supply chain activities and preparing required documents efficiently to the highest standard.
  • The role involves planning and providing critical logistical solutions adhering to strict deadlines, managing inventory and warehousing, ensuring timely product delivery, and developing strategies to reduce costs and improve operational efficiency.

Transportation & Storage

  • Coordinate with factory and sales department for readiness of goods.
  • Contact carrier or freight forwarder representatives to arrange shipping instructions and delivery of materials.
  • Complete documentation regarding clearance, freight forwarding transportation, bills of lading.
  • Organize shipping/receipt of products, preparing delivery to and from Warehouse with focus on accuracy, efficiency, and time management.
  • Dispatch freight for delivery and arrange pickups locally and internationally.
  • Address problems with order flow, shipping delays, and quality control issues such as damaged or improperly packed goods.
  • Coordinate storage and transportation of materials and manage timely flow of customer orders.

Supply Chain Management

  • Acquire competitive freight charges (Air, Road, Sea).
  • Monitor logistical market prices and drive spend reduction by negotiating with suppliers on cost and service level agreements for overseas supplies.
  • Request quotations for imports and exports from suppliers.
  • Negotiate with pre selected suppliers to determine best commercial terms (Price, specifications, warranty, delivery, payment terms) and assist with clearing invoice discrepancies.
  • Maintain liaison with suppliers.
  • Assist in improving operational efficiencies in processing customer orders using systems and physical improvements.

Regulatory and Compliance

  • Adhere to shipping/receiving and regulatory compliance procedures.
  • Comply with local country customs law, regulations, and excise legislation by ensuring correct paperwork for exporting and importing.
  • Complete daily checks on inbound and outbound shipping orders and receiving logs.
  • Record shipment data such as weight, charges, and damages.
  • Notify manager of problems such as damage, shortages, and non conformance to specifications.
  • Comply with Health & Safety regulations.
  • Ensure proper compliance and adherence to Export/Import administration regulations.
  • Develop procurement policies and procedures for appointing external suppliers.
  • Ensure service offering compliant with local and international laws regarding transportation and storage.
  • Maintain day to day operational files for tracking, delivery status, payments, reports, and audit purposes.
  • Resolve legal issues pertaining to transportation/distribution.

Customer Management and Service

  • Ensure customers are highly regarded and receive exceptional service throughout order processing.
  • Correspond with customers regarding procurement matters.
  • Highlight and resolve concerns with warehouse capacity and client deadlines.
  • Resolve customer issues with transportation or storage at Warehouse.
  • Document and escalate customer service issues and shipping/receiving errors to Operations Manager.
  • Supervise Warehouse Worker to ensure customer requirements are met.
  • Assist with readying loads for shipment and managing inbound and outbound warehouse traffic.

Stock Control

  • Track inventory of goods in company database.
  • Organize storage space in warehouses.
  • Place orders for packaged goods and inform warehouse person.
  • Create inbound and outbound orders.

Warehouse Management

  • Maintain accurate inventory levels and periodically audit to ensure matches actual stock.
  • Analyze and resolve inventory discrepancies and take corrective actions.
  • Prepare and present inventory reports to senior management and external regulatory authorities.
  • Collaborate with sales, finance, and marketing to coordinate inventory requirements and order fulfillment.
  • Develop and implement inventory policies and procedures to ensure compliance with industry standards and regulations.

Team Management

  • Establish operational objectives and work plans, delegate assignments to subordinates.
  • Review objectives to determine success of sales operations and cost saving logistics solutions.
  • Drive continuous improvement of sales operation processes.
  • Inspire change management of new ways of working, policies, and procedures.
  • Work on complex issues where analysis requires in depth evaluation of variable factors.

Qualifications

  • Bachelor's degree in business or transportation/logistics management or equivalent.
  • Minimum 5 years of experience in field operations and logistics.
  • Prior experience in humanitarian aid or logistics sector.
  • Proven experience of arranging logistical solutions.
  • Excellent knowledge of Microsoft Excel and logistics/ERP systems.
  • Evidence of project and team management skills.
  • Ability to develop systems and procedures.
  • Evidence of good negotiation skills.
  • Aptitude in decision making and working with numbers.
  • Accuracy and detail oriented.
  • Able to work under pressure and within deadlines.
  • Excellent interpersonal skills and ability to work in multi stakeholder environment.
