About the Role
ALEMCO seeks a Senior Administrator to support the Commissioning Department on large-scale data centre projects in Abu Dhabi. You will manage permit-to-work systems, energisation trackers, compliance reporting, and document control.

Responsibilities
- Maintain and update permit registers, energisation dashboards, trackers, logs, and reporting systems
- Review permit applications and supporting documentation for completeness and compliance
- Monitor permit validity periods and ensure timely renewals, closures, and escalations
- Prepare weekly and monthly reports, presentations, and departmental updates for management review
- Ensure accuracy, consistency, and integrity of permit, energisation, and operational data
- Coordinate reporting requirements across Commissioning, Construction, HSE, QA/QC, and Project Management teams
- Support governance and compliance initiatives by maintaining structured documentation and audit records
- Track permit status, energisation activities, and departmental KPIs, providing visibility across multiple projects
- Coordinate meetings, action trackers, and follow up activities relating to commissioning and permit processes
- Support process improvement initiatives through reporting enhancements and system optimisation
- Ensure all records are maintained in a structured, controlled, and accessible format
- Escalate discrepancies, expired permits, missing documentation, or procedural deviations to appropriate stakeholders
Requirements
- Advanced Microsoft Excel skills including formulas, data analysis, and tracker management
- Strong reporting, dashboard management, and document control capability
- Excellent organisational and time management skills
- High attention to detail and ability to review documentation for compliance
- Effective communication and stakeholder coordination skills
- Ability to manage multiple priorities in a fast paced project environment
- Bachelor's Degree or Diploma in Business Administration, Project Management, Engineering, Information Management, or related field
- Minimum 5 years of experience in site administration, project administration, permit coordination, document control, reporting, or operational support roles
- Experience within construction, engineering, commissioning, industrial, or project environments preferred
- Experience with permit to work systems, LOTO processes, energisation activities, or commissioning environments desirable
- Experience with Aconex, Power BI, SharePoint, or similar reporting and document management systems desirable
- Exposure to construction, MEP, industrial, mission critical, or data centre projects desirable

Qualifications & Experience
- Bachelor's Degree or Diploma in Business Administration, Project Management, Engineering, Information Management, or a related field.
- Minimum 5 years of experience in site administration, project administration, permit coordination, document control, reporting, or operational support roles.
- Experience within construction, engineering, commissioning, industrial, or project environments is preferred.
- Demonstrated experience maintaining trackers, dashboards, compliance records, and management reporting systems.
