Role Overview

  • The Executive Assistant to the General Manager provides administrative and organizational support to ensure the smooth day to day operation of the General Manager’s office.
  • The role includes managing the General Manager’s schedule, coordinating meetings and travel arrangements, handling correspondence, preparing documents and reports, and maintaining effective communication with internal and external stakeholders.
  • The Executive Assistant is expected to work in a professional and organized manner, maintain confidentiality, prioritize tasks effectively, and support the efficient coordination of office and administrative activities.

Responsibilities

  • Manage the General Manager’s calendar, schedule meetings and appointments, and provide timely reminders.
  • Handle telephone, email, and correspondence traffic by screening incoming requests and directing them to the appropriate departments.
  • Prepare for meetings, organize required documents, take meeting minutes, and follow up on action items.
  • Communicate professionally with internal and external stakeholders on behalf of the General Manager.
  • Arrange business travel, including flights, hotel accommodations, airport transfers, and other related logistics.
  • Maintain and safeguard confidential information and sensitive documents.
  • Organize filing, archiving, and document tracking processes efficiently.
  • Ensure effective internal coordination and facilitate communication between departments.
  • Communicate the General Manager’s instructions to relevant teams and monitor their implementation.
  • Support reporting processes by preparing presentations, correspondence, and other business documents.
  • Contribute to the smooth operation of office administration and daily administrative processes.

Skills and Qualifications

  • Bachelor’s degree preferred.
  • Minimum of 2–5 years of experience in a similar executive assistant or administrative role.
  • Proficiency in Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Strong planning, organizational, and time management abilities.
  • Professional demeanor with excellent presentation and interpersonal skills.
  • High level of integrity with a strong commitment to confidentiality and professionalism.
  • Ability to work effectively in a fast paced and dynamic environment.
  • Good command of English.
