Job Responsibilities
- Source, evaluate, and negotiate with suppliers and vendors for event related materials and services.
- Prepare quotations, proposals, contracts of events, compare prices, invoices and prepare purchase recommendations.
- Communicate with clients, vendors, and internal teams to ensure smooth execution.
- Maintain supplier database and build strong vendor relationships.
- Ensure timely procurement of event equipment, decorations, giveaways, costumes, stationery, and operational supplies.
- Track budgets and ensure cost effective purchasing.
- Coordinate with finance for invoice verification and payment processing.
- Ensure compliance with company procurement policies and procedures.
- Coordinate day to day administrative tasks for events and activation.
Administration Responsibilities
- Provide administrative support to the Events and Operations team.
- Maintain procurement records, contracts, quotations, and vendor agreements.
- Prepare reports, spreadsheets, and procurement documentation.
- Coordinate staff schedules, meetings, and internal communications.
- Assist in processing employee requests, travel arrangements, and accommodation bookings when required.
- Maintain records of bookings, contracts, and payments.
- Track inventory and coordinate with warehouse for event requirements.
- Assist in preparing reports and post event summaries.
- Handle emails, calls, and follow ups professionally.
- Support documentation related to licenses, permits, and event approvals.
- Maintain proper filing systems for company documents and records.
Event Support Responsibilities
- Coordinate with event teams regarding procurement requirements.
- Assist in logistics planning and vendor coordination for events.
- Ensure materials and equipment are delivered to event locations on time.
- Support event setup and breakdown coordination when required.
- Liaise with suppliers during events to resolve operational issues.
- Monitor vendor performance and service quality.
Pay
- AED 3,000.00 AED 4,000.00 per month.
