Job Overview

The Principal Document Controller provides solutions to atypical or infrequently occurring document management problems using established practices and procedures.

The role directly impacts team work quality and communicates technical document control information while suggesting process improvements.

Core Responsibilities

  • Develop document management execution plans and work instructions aligned with client requirements and company standards.
  • Become familiar with contract, project, EDMS, format, and document management requirements.
  • Set up the project EDMS platform to meet client and company technical requirements.
  • Manage staffing plans and project budgets for appropriate staffing and cost management.
  • Advise project management on document management issues and interface processes.
  • Coordinate documentation sharing across project teams, locations, MOPEX, and joint venture partners.
  • Act as the day-to-day document management interface for clients, suppliers, and subcontractors.
  • Facilitate the timely flow of technical information through the EDMS.
  • Prepare and issue document status reports, including the master document register.
  • Supervise document management personnel and provide performance feedback.
  • Provide EDMS and procedure training to project and document management personnel.
  • Maintain, improve, audit, archive, and hand over project document management records and processes.

Lead Document Management Scope

  • Direct small or medium document management teams when acting as Lead Document Controller.
  • Lead document management projects and coordinate discipline interfaces and deliverables.
  • Plan discipline scope, deliverables, schedules, and workforce resources with the Engineering Manager.
  • Maintain responsibility for progress, productivity, corrective actions, and project discipline communications.
  • Act as the project-based discipline contact with project teams, customers, vendors, subcontractors, auditors, and certifying authorities.

Qualifications

  • Bachelor’s degree in any stream or equivalent diploma, preferably in Computer Science.
  • At least 10–15 years of document management experience with a major contractor or consultant.
  • Good knowledge of EDMS software, Microsoft Office, Adobe, and industry-utilized EDMS tools.
  • Computer literacy in Word, Access, PowerPoint, Excel, and Project.
  • Experience with technical activities including onshore and offshore operations.
  • Functional, business, industry, and leadership expertise.
  • Ability to work as a team member and team leader.
  • Excellent organizational, time management, communication, and decision-making skills.
  • Detail-oriented, dependable, and able to manage multiple priorities.
  • Certified iDocs Trainer qualification is preferred.

Reporting and Interfaces

Reports to the Project Lead Document Management/PEM or Project Manager and the Department Manager.

Liaises with Lead Document Management, Project Engineering, Project Management, and the Department Manager.

Supervises assigned Document Controllers.
