Summary

  • We are looking for a highly organized and proactive NPD Specialist to support the execution of our fast paced product launches.
  • Based within the NPD department, this role plays a key coordination function across multiple teams by supporting timelines, tracking deliverables, facilitating communication, and ensuring projects move smoothly through the different development phases.
  • Working closely with the NPD Assistant Manager and cross functional stakeholders, the NPD Specialist will help manage daily project activities from concept through launch.

Essential Duties and Responsibilities

  • Support the day to day coordination of new product launches across assigned categories, ensuring timelines and deliverables are tracked accurately.
  • Maintain and update project timelines in Asana, Huda Beauty's internal project management software, ensuring tasks, milestones, and dependencies remain current.
  • Follow up with internal teams and external suppliers to collect updates and ensure actions are completed on time.
  • Assist in coordinating projects through the defined NPD phases (Exploration, Development, Execution) following Huda Beauty's standardized processes.
  • Support launch feasibility assessments and project planning activities by gathering required information and timelines.
  • Coordinate internal meetings, prepare agendas, capture meeting minutes, and track action items through completion.
  • Monitor project progress and proactively flag delays, risks, or missing information to the Line Manager.
  • Proactively identify challenges or delays within projects and suggest possible solutions or next steps to the Line Manager for guidance and decision making.
  • Coordinate with cross functional teams including Product Development, Packaging, Quality, Purchasing, Regulatory, Finance, Design, Marketing, S&OP, Master Data, Logistics, and Regional Markets.
  • Support communication with suppliers and contract manufacturers to help ensure timelines and deliverables are respected.
  • Assist in gathering and organizing critical project information including BOMs, specifications, forecasts, production timelines, and shipping updates.
  • Work closely with Demand Planning and S&OP teams to support forecast tracking and purchase order coordination.

Reporting, Documentation & Communication

  • Prepare project updates, reports, presentations, and status summaries for internal stakeholders.
  • Support the preparation of launch review materials and leadership updates.
  • Track project risks, changes, and action items and ensure proper follow up and documentation.
  • Respond to day to day project queries from internal and external stakeholders in a timely and professional manner.
  • Create clear and concise communication materials and emails with guidance from the Line Manager when required.

Process Improvement & Operational Support

  • Support the team in standardizing processes, templates, trackers, and documentation.
  • Assist in maintaining SOPs and documenting updated ways of working.
  • Contribute to process improvement and automation initiatives by identifying inefficiencies and proposing solutions.
  • Participate in postmortem launch reviews and help capture learnings and improvement opportunities.
  • Provide operational and administrative support to the broader NPD team as needed.

Requirements

  • 3 5 years of experience in project coordination, operations, supply chain, product development, or related fields, preferably within beauty, FMCG, or a fast paced environment.
  • Bachelor's degree in Project Management, Operations Management, Business Administration, Industrial / Manufacturing / Chemical Engineering, or related fields.
  • Strong organizational and time management skills with high attention to detail.
  • Ability to manage multiple priorities and work in a fast paced environment.
  • Strong communication and collaboration skills with a team oriented mindset.
  • Comfortable coordinating across multiple stakeholders and functions.
  • Proactive and solutions oriented approach with willingness to learn and grow.
  • Working knowledge of Microsoft Office tools, particularly Excel and PowerPoint.
  • Comfortable using project management systems, ideally similar to Asana.
  • Fluent in English.
