Why this role exists
Alvéole supports a rapidly changing leadership team and operates a Montreal office where administrative coordination and workplace details need consistent ownership.
The role supports four executives and helps make the office and employee experience organized, welcoming, and effective.
What you will own
- Manage calendars, emails, travel, meetings, expenses, priorities, and follow-ups for four executives.
- Track commitments, action items, communications, and connections across teams.
- Coordinate business administration projects such as insurance renewals, corporate applications, and document consolidation.
- Plan company events and coordinate new-hire experiences, workstations, and welcome materials.
- Own Montreal office operations, including vendors, building management, repairs, supplies, access, meeting spaces, and workplace logistics.
- Welcome employees, candidates, customers, and visitors through a consistent workplace experience.
- Build better administrative systems, automate repetitive tasks, and use AI and modern tools where they create leverage.
What we are looking for
- Experience supporting senior leaders, coordinating office operations, or working in a fast-paced administrative or operations role.
- Exceptional organization and ability to manage multiple competing priorities without letting details fall through the cracks.
