Role Overview

  • We are seeking a personal assistant to support the Founder across both professional and limited personal matters, ensuring seamless coordination of calendars, travel, information flow, and priority management.
  • This role sits at the intersection of administration, technology, and finance.

Key Responsibilities

  • Manage complex calendars, schedule meetings across time zones, and coordinate with internal and external stakeholders (investors, partners, advisors, and service providers).
  • Arrange and manage international travel (flights, hotels, visas, local transport).
  • Act as primary point of contact for calls, emails, and digital communication, filtering and prioritizing messages and ensuring timely follow up.
  • Prepare, edit, and format documents, presentations, and basic reports related to investment projects, real estate, and technology initiatives.
  • Maintain digital filing systems, shared drives, and knowledge bases to keep information searchable and structured.
  • Support light financial and analytical tasks: updating tracking sheets, compiling data from platforms like Excel/Google Sheets, and assisting with expense and budget monitoring.
  • Coordinate with distributed teams, vendors, and counterparties on operational tasks, including property management, technology rollouts, and project timelines.
  • Conduct basic research (markets, counterparties, travel options, suppliers) and summarize findings clearly for decision making.
  • Handle confidential information with discretion, maintaining a high standard of professionalism and trust at all times.

Tech & AI Expectations

  • Confident user of modern productivity tools: Google Workspace or Microsoft 365, cloud storage, and digital collaboration platforms (e.g. Slack, Zoom).
  • Comfortable working with task/project tools such as Airtable, Trello/Asana, or similar, and able to learn new systems quickly.
  • Able to interface with AI tools (e.g. AI assistants, OCR/document processing tools) for drafting, summarizing, and organizing information; no coding required but curiosity and willingness to learn are essential.
  • Strong digital hygiene: version control of documents, structured naming conventions, and disciplined follow up using technology rather than manual lists.

Finance & Business Exposure

  • Strong numeracy and comfort with basic financial concepts (spreadsheets, budgets, cashflows, and investment related terminology).
  • Ability to read and organize financial and commercial documents (contracts, property related paperwork, investment memos) under guidance.
  • Prior exposure to finance, investments, or real estate is an advantage, but not mandatory if you can demonstrate analytical thinking and willingness to learn.

Requirements

  • Based in, or willing to relocate to, Dubai; role is office based with flexibility for remote work when travel is involved.
  • 3–5 years’ experience as a Personal Assistant, Executive Assistant, or similar role supporting a senior executive or entrepreneur.
  • Excellent written and spoken English; additional language skills are a plus.
  • High attention to detail, strong organisation skills, and the ability to manage multiple concurrent tasks without dropping the ball.
  • Proven ability to work in a fast paced, ambiguous environment and maintain calm, structured execution.
  • High integrity, discretion, and reliability – you will be trusted with sensitive information and time critical decisions.

Compensation

  • Base salary: AED 10,000 per month, depending on experience.
  • Discretionary performance based bonus aligned with firm and individual outcomes.
