Responsibilities
- Manage the CEO's calendar, appointments, meetings, and travel arrangements
- Prioritize and coordinate daily tasks and ensure timely follow ups
- Prepare meeting agendas, presentations, reports, and minutes of meetings
- Screen calls, emails, and correspondence, responding where appropriate
- Maintain strict confidentiality of sensitive business information
- Act as the primary point of contact between the CEO and internal/external stakeholders
- Coordinate with teams across Dubai, Canada, and international offices
- Draft professional emails, letters, presentations, and official documents
- Follow up with department heads to ensure timely completion of assigned tasks
- Monitor ongoing projects and provide regular progress updates to the CEO
- Track deadlines and ensure deliverables are completed on time
- Assist in implementing new operational processes and systems
Requirements
- Bachelor's degree in Business Administration, Management, or a related field
- Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management
- Excellent written and spoken English
- Strong organizational and time management skills
- Exceptional communication and interpersonal abilities
- High level of discretion and professionalism
- Ability to multitask and work under pressure
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace

Position Summary
- Eminent College is seeking a highly organized, proactive, and professional Executive Assistant to the CEO to provide comprehensive administrative and executive support.
- The ideal candidate will act as the CEO's right hand, managing schedules, communications, projects, and confidential information while ensuring smooth day to day operations.
Executive Support
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Prioritize and coordinate daily tasks and ensure timely follow ups.
- Prepare meeting agendas, presentations, reports, and minutes of meetings.
- Screen calls, emails, and correspondence, responding where appropriate.
- Maintain strict confidentiality of sensitive business information.
Communication & Coordination
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Coordinate with teams across Dubai, Canada, and international offices.
- Draft professional emails, letters, presentations, and official documents.
- Follow up with department heads to ensure timely completion of assigned tasks.
Operations & Project Management
- Monitor ongoing projects and provide regular progress updates to the CEO.

- Coordinate company events, executive meetings, and business travel.
Administration
- Maintain organized digital and physical filing systems.
- Prepare expense reports and maintain executive records.
- Assist with HR, procurement, and office administration as required.
- Coordinate visa applications, travel bookings, accommodation, and logistics when necessary.
Strategic Support
- Conduct research and prepare business reports.
- Analyze data and prepare executive summaries.
- Identify opportunities to improve operational efficiency.
- Support the CEO in business development and special projects.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior management.
