Purpose

  • The purpose of the event coordinator role is to manage, plan, and execute company’s events including conferences, trade shows, product launches, customer appreciation events, and employee events.

Responsibilities

  • Work closely with Marketing team to formulate and track the activity plan of the year based on the focus strategy.
  • Negotiate contracts with vendors.
  • Book venues and transportation.
  • Manage event preparation, coordination, and logistics such as course material (CE FOC) order processing, tracking, and delivery to venue; catering, audiovisual & signage.
  • Inventory tracking & reporting to finances of CE courses materials and collaterals.
  • Create promotional material to market for events.
  • Process with finances speakers’ payment.
  • Reporting: based on salesforce.com (SFDC), report activity quarterly to corporate, and monthly to Sales & Marketing team.

Qualifications

  • Strong organizational and time management skills.
  • Excellent English communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Very good computer skills, working with sheets, PDF & presentations.
  • (Preferred) 2 3 years of experience in event planning.

Accountabilities

  • Manage major events from planning to execution.
  • Deliver all events on time and within budget.
  • Meet the company's objectives for each event.
  • Maintain records and track of course resources.
  • Follow the company’s policy in all event aspects.

Relationships

  • The event planner reports to the company's CE manager.
  • Works closely with other departments such as Business development managers (BDMs), finance, IT, and HR.
  • Works with external vendors such as organizers, caterers, venues, and transportation providers.
