Document Controller( Arabic Speaker)

Purpose Of The Role

Primary Responsibilities

• Manage and maintain all MEP project documents including drawings, material submittals, RFIs, method statements, ITPs, NCRs, and correspondences.
• Ensure proper document control procedures are implemented in line with company and project requirements.
• Register, track, and distribute incoming and outgoing documents using EDMS systems such as Aconex, SharePoint, or similar platforms.
• Maintain up-to-date logs and registers for all document types and ensure accurate version control.
• Coordinate with engineers, subcontractors, consultants, and suppliers for timely submission and approval of documents.
• Prepare transmittals for all document submissions and ensure proper recording and tracking.
• Monitor document review cycles and follow up on pending approvals to avoid delays.
• Maintain both electronic and hard copy filing systems for easy retrieval and audit compliance.
• Support project teams with document retrieval, reporting, and administrative tasks.
• Ensure compliance with ISO standards and company document control procedures.
• Assist in project close-out documentation and handover processes.
• Coordinate and manage procurement-related documentation, including material requests, purchase orders, and supplier submissions to support timely procurement of materials.

Qualifications

• Diploma or Bachelor’s degree in Engineering, Business Administration, or related field.
• Strong knowledge of MEP documentation (shop drawings, material submittals, RFIs, etc.).
• Proficiency in EDMS platforms such as Aconex, Asite, or similar systems.
• Good command of MS Office applications.
• Familiarity with ISO standards and document control procedures.
• Strong organizational and time management skills.
• Ability to work under pressure and meet tight deadlines.
• Good communication and coordination skills.
• Must be proficient in Arabic

Experience

• Minimum 5 years of experience as a Document Controller in MEP or construction projects ).
• Experience working with contractors or MEP subcontractors in the UAE/GCC
