Role Overview
The Billing & Sales Administrator manages vehicle invoicing and transaction documentation from confirmed order through payment collection and vehicle release.
The role supports customers, suppliers, financing partners, and finance teams in a fast-moving vehicle sales environment.
Vehicle Invoicing and Billing
- Raise customer, proforma, and credit note invoices against confirmed sales orders.
- Verify vehicle model, specification, VIN, price, discount, VAT treatment, and required management approval before issuing invoices.
- Process invoicing for trade-ins, deposits, warranties, insurance, and accessories.
Deal Files and Documentation
- Maintain complete transaction files containing sales orders, identification documents, invoices, payment evidence, delivery notes, registration documents, and warranty records.
- Verify documentation and cleared payment before authorizing vehicle release or handover.
- Maintain physical and electronic records and support audit requests.
Customer and Supplier Coordination
- Respond to customers regarding invoices, deposits, payment methods, receipts, and refunds.
