Job Overview

  • Terracotta Outsourcing is currently recruiting on behalf of a leading international organization for an experienced Bid coordinator to join a high profile project based in Dubai.
  • This is an outsourced position on an initial 5 month contract, with a strong possibility of extension based on project requirements.

Key Responsibilities

  • Coordinate and administer the tender process from receipt through submission.
  • Manage bid documentation using SharePoint and maintain accurate document control throughout the bid lifecycle.
  • Establish and maintain bid folders, document repositories, version control, and submission trackers.
  • Coordinate with technical, commercial, legal, finance, procurement, and other internal stakeholders to ensure all deliverables are received on time.
  • Organize bid kick off meetings, review meetings, and prepare agendas, minutes, and action trackers.
  • Monitor bid schedules, submission deadlines, and clarification registers.
  • Ensure all submission requirements, supporting documentation, declarations, and compliance documents are complete and accurately formatted.
  • Liaise with internal and external stakeholders to obtain administrative documentation, agreements, and supporting records.
  • Support the bid team by maintaining high standards of organization, compliance, and document quality.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Office Management, Project Administration, or a related discipline.
  • 2–5 years of experience in Bid Administration, Tender Coordination, Proposal Coordination, Document Control, or Project Administration.
  • Previous experience supporting competitive tender or proposal submissions.
  • Hands on SharePoint experience is essential.
  • Strong document management and version control experience.
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint, and Outlook).
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple priorities while working to strict deadlines.
  • Strong communication and stakeholder coordination skills.
  • Fluent English is required. French language skills would be considered an advantage.

Preferred Industry Background

  • Experience within one or more of the following sectors would be highly regarded: Rail, Public Transport, Mobility, Infrastructure, Engineering, Construction.
