Assistant Operations Manager

Job Purpose

Order Execution and Coordination

• Oversee complete order processing, establish priorities, monitor urgent orders, and ensure pending actions are assigned and closed.
• Coordinate Sales, Engineering, Procurement, Production or Assembly, Logistics, Finance, and other departments.
• Maintain visibility of open orders, material status, documentation, planned delivery dates, and required activities.

Team Leadership

• Lead, guide, supervise, and allocate workloads for the HVAC accessories order-execution team.
• Set responsibilities and timelines, monitor performance, provide operational support, and take ownership of matters requiring managerial decisions.
• Identify training and development needs and support continuous improvement of team capabilities.

Client and Delivery Management

• Act as an operational point of contact for clients regarding order execution, material readiness, delivery schedules, documentation, and concerns.
• Provide accurate updates, manage escalations, and coordinate solutions for risks that could affect customer commitments.
• Monitor delivery schedules, initiate recovery plans, investigate deviations, and communicate critical risks to management.

Process and Performance Management

• Improve order-processing workflows, tracking systems, checklists, handover procedures, escalation processes, and operational controls.
• Support ERP and order-management system utilization and maintain documentation and traceability of important activities.
• Monitor KPIs and prepare reports covering turnaround time, delivery, overdue orders, corrective actions, workload, and operational risks.

Qualifications and Experience

• Bachelor's degree or diploma in mechanical engineering, HVAC, industrial engineering, business operations, supply chain management, or a related discipline.
• Relevant experience in HVAC, manufacturing, trading, order management, project execution, or industrial equipment operations.
• Experience in HVAC accessories, HVAC equipment, MEP products, or similar technical products is preferred.
• Previous supervisory, team-lead, assistant managerial, or operational coordination experience is preferred.
• Experience with customers, contractors, consultants, or project teams is advantageous.
• Good understanding of order processing, procurement, supply chain, inventory, logistics, and delivery coordination.
